Unit Secretary – Paed.Out-Patient Clinic, FT (J0925-0821)
North York General Hospital is inviting applications for a full‑time Unit Secretary. The role provides administrative, secretarial, and receptionist support for the Paediatric Unit and Paediatric Outpatient Clinic.
Position Summary
The successful candidate will perform confidential and professional administrative duties in a fast‑paced and stressful environment, supporting hospital care, teaching, learning, and research activities.
Responsibilities
- Support and adhere to hospital policies and procedures.
- Communicate effectively with staff, patients, families, and internal and external parties.
- Coordinate interdepartmental activities, schedule appointments, and manage discharge and other unit services.
- Accept, triage, and process telephone calls and inquiries in a timely manner.
- Compile and disseminate program activity documents.
- Manage confidential information with professionalism.
- Maintain attendance / time‑reporting information and arrange relief as required.
- Process computer provider order entries and notify staff and appropriate departments.
- Support clinicians with system order entry, patient appointments, and follow‑ups.
- Process requisitions for laboratory and imaging studies, ensuring documentation and follow‑up.
- Maintain organization of admissions, discharges, outstanding orders, medication information, and unit supplies.
- Prepare statistics, reports, and discharge instructions.
- Apply patient‑centered communication with patients, families, staff, physicians, and volunteers.
Qualifications
Ontario Secondary School Diploma (OSSD) or equivalent.Medical office assistant certificate or minimum one‑year comparable office experience with medical orientation.Typing speed of at least 45 words per minute.Preferred : Two years of experience in a paediatric setting.Proficiency in Microsoft Office (Word, Excel, PowerPoint).Experience dealing with the public in a fast‑paced environment.Bilingualism in French / English is an asset.What We Offer
