Role Responsibilities
Reporting to the Project Manager, the Program Coordinator will apply strong attention to detail to analyze, track, and make recommendations on various types of program project related reports and corresponding invoices, ensuring adherence to Program guidelines, agreements, scope, budget, and procedures. This includes monitoring the construction progress of various projects and expenditures of the approved projects within each Program that lead to the right projects proceeding with the correct scope of work and correct budgets.
This position will communicate the results of the data analysis, including trends, and any issues in written and verbal form to the Director, Government and Health Facilities. This position is responsible for ensuring all relevant monthly, quarterly, and annual reports are reviewed and submitted accurately and on time.
This role will also participate in a variety of additional activities when required such as various meetings with stakeholders, site visits, process improvement initiatives, project Scope, schedule, risk management and budget tracking, formal and informal communications recording and tracking and procurement related duties in the program.
The primary responsibilities for the Program Coordinator include, but are not limited to :
- Interpreting, communicating and assessing MHA compliance with relevant Government and department policies, regulations, standards, processes, initiatives, and expectations
- Reviewing MHA capital plan submissions in relation to options, costs, timelines, scope, etc. ensuring compliance with program eligibility, and policies and procedures to achieve specific results
- Ensuring Infrastructure's accountability for the Program funds is in accordance with the approved scope and budget, department and Government policies, procedures, standards and guidelines, including monitoring the financial management of the Programs by analyzing various reports submitted by stakeholders and consultants and to confirm projects are being implemented as approved, that expenditures are in line with anticipated cashflow requirements, and working with the project teams ensuring financial close-out of completed projects, and resolving project issues as they arise
- Supporting ongoing committee and working groups responsible for addressing program related issues, reviewing prioritization processes by Recovery Alberta and AHS, updating processes and guidelines, etc.
- Preparing briefings, action request responses and recommendations on planning issues
