Job description

The Student Services department’s role in student success is to create a culture and environment that unleashes the full potential of all the students at SAIT. Our primary goal is to support Student-First Culture, by focusing on student success and mobilizing all campus community members in this shared goal. The Opportunity Reporting to the Manager of Student Engagement, the successful candidate will assist in the coordination of daily operations and provide administrative support staff in the Office of Student Engagement. The successful candidate will be expected to work collaboratively with colleagues and support student-centered programming. The employee will be expected to demonstrate excellent skills in communication, organization, time management and professionalism.

The Role

  • Office Maintenance - 20%
  • Daily reception includes welcoming visitors and students, answering telephone calls, and responding to email inquiries.
  • Monitor, maintain, order and stock supplies.
  • Distribute physical mail daily and organize courier services as needed.
  • Assist with the coordination of onboarding for new staff and practicum students (, ensure keys, access cards, business cards, computer accounts, computer hardware, phones, and office space are set up.)
  • General Administration - 80%
  • Maintain a booking schedule for SE meeting rooms.
  • Arrange meetings, create, and distribute agenda and minutes to attendees, record and type meeting minutes, book rooms and order catering, coordinate parking passes, set up and support virtual meetings as needed.
  • Provide administrative support for data collection and assessment (, survey creation).
  • Provide support on processing financial transactions (, such as creating invoices, completing cheque requisitions, and submitting payments through Banner).
  • File quotes, invoices, payments, student data, gifts, and other pertinent information electronically and / or physically.
  • Research costs, request quotes, book reservations, and create schedules for student engagement activities and field trips.
  • Complete invoices and payments for all transportation, accommodations, events, and activities.
  • Handle printing for various projects (itineraries, posters, certificates).
  • Enter data into records for future funding, historical retrieval, and continuous improvement.
  • Provide support before, during and after departmental events and activities such as Orientation, Big SAIT Welcome, etc.
  • Coordinate room booking schedule for Orientation each semester, liaising with Academic Schools, Conference Services and Office of the Registrar to ensure effective room allocation for all programs.
  • Book transportation, activities, and accommodation for staff and students.

Qualifications & Experience

  • Minimum
  • Office professional certificate or diploma in Administrative Information Management, Business or Education preferred.
  • An equivalent combination of education and experience may be considered.
  • Banner ERP experience is an asset.
  • Previous experience in a post-secondary work environment an asset.
  • Microsoft Office Specialist (MOS) Certification is preferred.
