JOB SUMMARY
As the Administrative Assistant, Investor Relations, you will play a pivotal role in Investor Relations by ensuring meticulous documentation, seamless communication, and adherence to regulatory guidelines. You will be responsible for processing investor capital transactions, maintaining accurate records, and supporting both internal teams and external stakeholders. This fast-paced role requires strong organizational skills, attention to detail, and a client-centric mindset.
SPECIFIC RESPONSIBILITIES
- Processing investor capital transactions, including the review of subscription agreements, redemption requests and upholding compliance with relevant legislation, guidelines outlined by the fund offering documents.
- Maintain organized communication with investors regarding required documentation.
- Liaising with 3rd party trust companies and providing required reports in a timely manner.
- Maintenance of all electronic and physical investor records, by updating all required investor information in the internal company database.
- Processing of wire and ACH payments through banking platforms to make distribution payments to investors and settle redemption requests.
- Production of investor statements, quarterly reports, distributions, and all correspondence.
- Distribution of investor statements, distribution notices and all correspondence.
- Responsible for review and submission of regulatory filings with the OSC and BCSC (and other jurisdictions as required).
- Support capital raising efforts for all Structured Products.
- Participate in database testing when required and make recommendations for added functionality and database enhancements where necessary.
- Appropriate handling of investor calls and inquiries and ensuring that inquiries are handled in a timely manner.
- Ability to contact customer leads through cold calling.
- Adhere to internal control processes and standard operating procedures for all Structured Products.
- Coordinate tasks between other departments as required.
- Participate in project based work and other duties as assigned.

Diploma or Bachelor’s degree in a related field (or equivalent experience).1–3 years of administrative experience in financial services, asset management, or a related industry.Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with CRM or database systems is a plus.Strong organizational skills and high attention to detail in a deadline-driven environment.WHAT WE OFFER
