Description
Office Manager
Our client is searching for an Office Manager to join their team. This role will be responsible for overseeing all administrative accounting and information management services and procedures to ensure organizational effectiveness and efficiency for the company.
A successful candidate will facilitate the flow of administrative and accounting functions and liaise with staff and external parties in order to accomplish the company’s objectives.
Your success will be defined by your ability to :
- Act as the primary resource for matters related to office automation, telecommunications and information systems hardware, software and ancillary equipment problems and liaise with contracts and supplies to resolve problems
- Communicate effectively with clients and staff to maintain the company’s reputation for quality, commitment to service and professionalism
- Prioritize and effectively organize tasks, ensuring no substantive complaints are received
- Monitor deadlines and timelines for tasks or projects undertaken; managing project timelines, deadlines, and priorities to support the firm.
- Develop or implement clearly defined administrative policies and procedures in line with, and to support the company’s purpose and goals
- Actively participate in meetings, keeping relevant with the needs of the company
- Review, develop and implement new and improved office policies, procedures and automated systems in order to improve efficiency and accommodate company requirements;
making recommendations regarding acquisition of new and improved administrative and financial systems, or new office equipment and automated systems
- Ensure information management compliance for provincial and federal information and Privacy Acts (PIPA, FOIP)
- Monitor and administer employee timesheets in Monograph
- Manage employee payroll
- Be responsible for on-boarding of new staff, and support the employee termination process
- Keep accurate records of employee reviews, disciplinary meetings, and goals
- Be responsible for training, mentoring, evaluating performance, and appropriate discipline of subordinate administrative staff
- Manage and evaluate subordinate administrative staff, accountable for their deliverables including reception duties, inventory management, travel bookings and proposal writing
- Maintain a file system, understanding the importance of documentation
- Perform computer data entry and analysis functions
- Draft correspondence, reports and proposals, including formatting, proofreading desktop publishing and designing various materials
- Assist in the daily operations of the company
- Assist in planning and running social events with the social committee
Your strengths include :
- 5+ years of experience in a supervisory administrative role
- Demonstrated progressive experience in administrative and financial support services
- Understanding of accounting procedures, business math and administrative office procedures.
- Strong knowledge of Office 365, QuickBooks Desktop, and InDesign
- Strong relationship management skills with the ability to work effectively with a diverse team.
