We’re seeking a Software Implementation Manager who is highly organized, proactive, and passionate about driving successful client implementations by documenting processes, ensuring accountability from internal teams and client teams, and providing a rigorous rollout experience.

About the Role

As a Software Implementation Manager , you will take ownership of the entire implementation process, ensuring every step is meticulously documented and executed efficiently. You will work closely with clients to establish clear expectations, hold them accountable to deliverables, and proactively manage project timelines. The ideal candidate is a self-starter who thrives in a fast-paced environment, possesses strong problem-solving skills, and is comfortable driving initiatives with minimal oversight.

Key Responsibilities

Process Documentation & Optimization :

  • Develop and maintain detailed implementation playbooks, SOPs, and workflows to streamline deployment processes.
  • Continuously refine documentation to reflect evolving client needs and product enhancements.
  • Ensure all project steps and decisions are well-documented for internal and client-facing transparency.

Client Accountability & Success Management :

  • Proactively engage with clients to set expectations, milestones, and responsibilities to ensure project success.
  • Conduct regular check-ins, track action items, and ensure clients meet deadlines and provide necessary resources.
  • Escalate issues when needed and work collaboratively to find resolutions.
  • Project Execution :

  • Own the end-to-end implementation lifecycle, from kickoff to post-go-live support.
  • Drive project timelines, ensuring key milestones are met on schedule.
  • Collaborate with internal teams (development, sales, and support) to align on project goals and deliverables.
  • Take initiative in identifying process inefficiencies and driving continuous improvements.
  • Work autonomously to identify potential risks and develop mitigation strategies.
  • Act as a trusted advisor to clients, guiding them through best practices and ensuring optimal adoption.
  • Training & Support :

  • Facilitate client onboarding and training sessions to ensure successful software adoption.
  • Provide clear, concise guidance on system functionalities and best practices.
  • Direct post-implementation support team to address questions and gather feedback for improvements.
  • What We’re Looking For

  • Proven experience in software implementation, client success, or project management roles.
  • Exceptional organizational and documentation skills, with a keen eye for detail.
  • Strong self-motivation and ability to work independently while driving multiple projects forward.
  • Excellent communication skills with the ability to hold clients accountable in a professional and constructive manner.
  • Experience with implementation frameworks, client onboarding methodologies, and project tracking tools (e.g., JIRA, Monday.com, or Asana).
  • Proficiency in managing client expectations and navigating challenging conversations.
  • Basic technical understanding to guide clients through software configurations and integrations.
  • Familiarity with union management software, HRIS, or ERP systems is a plus.
  • Ability to be in our Bedford office at least twice a week.
  • Nice-to-Have Skills

  • Experience working in the union or labor sector.
  • Knowledge of Agile or other project management methodologies.
  • Exposure to CRM tools such as HubSpot or Salesforce.
  • Understanding of API integrations and data migration processes.
