Role Summary:We are seeking a Clinic Business Manager (CBM) to lead and coordinate the clinic’s operations, manage our administration team, and support our strategic growth initiatives. This new role is key to ensuring a seamless patient experience, optimizing operational efficiency, supporting marketing programs and financial management, and shaping a workplace where our staff thrives. The CBM will be well supported by an engaged senior management team both operationally and strategically.
Key Responsibilities: - Operations & Scheduling Management: Support daily clinic operations, policies and procedures, and SOPs. Coordinate surgeon schedules in partnership with clinical staff to ensure efficiency, smooth patient flow, and a high-quality patient experience. Procure office and clinical supplies in a timely fashion.
- Team Coordination & Development: Manage and inspire administrative and clinical teams, driving collaboration and high performance to ensure an exceptional patient experience.
- Human Resources Management: Work with leadership to support hiring, onboarding, training, and development; implement employee relations and performance management tools; and ensure policies and procedures reflect best practices.
- Marketing & Growth Support: Manage existing external marketing agencies and internal stakeholders to align campaigns with clinic goals, support patient acquisition and retention, and evaluate performance against business objectives. Work with marketing partners to ensure effective integration of website, SEO, and patient acquisition initiatives.
- Financial Management & Reporting: Review budgets, billing, and financial reporting; monitor financial performance; and work closely with the finance support team to ensure accuracy and compliance. Provide dashboard and business overview to senior leadership on an ongoing basis.
- Technology, Compliance & Patient Experience: Oversee electronic health records, office systems, and technology partners; ensure compliance with regulations and policies.
Key Qualifications: - Bachelor’s degree in Business Administration, Healthcare Management, or a related field.
- 5+ years of experience with operations management in a clinical, healthcare, or similar professional services setting.
- Proven ability to lead teams, including hiring, onboarding, training, and performance management.
- Strong understanding of financial management, including budgeting, and working with bookkeepers/accountants.
- Experience collaborating with external partners such as marketing agencies, technology vendors, and service providers.
- Solid knowledge of healthcare regulations, compliance requirements, and electronic health record systems.
- Excellent organizational, problem-solving, and decision-making skills, with a strategic mindset.
- Strong communication and interpersonal skills to collaboratively work with staff, health care professionals, and senior leadership.
The expected compensation range for this role is $110,000 to $120,000.
