What You Will Do (Responsibilities)
Interact with clients and provide general information on Okanagan College by telephone, electronically or face-to-face.Respond promptly and accurately to inquiries, concerns and requests about programs, applications, registration and services, including directing requests to designated resources.Make appropriate referrals to the internal college community, external partners and agencies as required.Encourage applicants and students to be responsible for realizing their own education and career options.Assess documentation to verify students meet and maintain eligibility for registration in their courses and remove students from courses if they are ineligible (e.g., lack of pre-requisite, non-payment).Assist students through the process of registration of course sections and provide detailed policy and registration information.Advise applicants and students of general entrance requirements.Verify and update details of student academic records in the current student information system (Banner), as well as legacy systems; create course sections in Banner in accordance with data standards.Produce, print, and distribute official OC documents and reports (e.g., class lists, student course schedules, attendance summaries, course materials, final grade sheets, T2202A tax forms, verification of enrolments).Provide student account services including accepting and processing payments (application fees, course fees, transcript requests, refunds, parking passes, fitness room passes, room rentals, and other fees).Complete and audit cashier sessions and prepare bank deposits.Liaise with internal and external stakeholders such as Financial Services for scholarships, bursaries, returned cheques, third party sponsorships, and Financial Aid and Awards for student loans and funding.Provide a variety of administrative, office, and support services for the regional dean’s office, program areas and student services, including scheduling student appointments, processing evaluations, monitoring equipment and supplies, typing, photocopying, proofreading, barcoding, scanning, filing, mailing, courier coordination, updating departmental forms, SALTO cards, room rentals, etc.Process continuing studies instructor contracts and expense claims, arrange for parking, keys, codes, and network and email access.Process payment vouchers, journal entries, transfers, invoices, honoraria, purchase requests, and other related financial documents.Provide public relations and marketing support for the regional dean’s office, assist with marketing activities to maximize student enrolment, and coordinate events.Assist in coordinating student tests, including supervision of internal and external testing (accommodated exams, entrance tests, exam invigilation).May be responsible for operating a multi-line switchboard.Provide backup support for all front office positions as assigned.Perform other duties as assigned.Education and Experience
Completion of Grade 12 or equivalent plus up to one year post-secondary training. Over one year and up to two years related experience.

Schedule and Compensation
Typical hours : 8 : 30 a.m. to 4 : 30 p.m., Monday to Friday. Flexibility required; alternate hours and days, including evenings and weekends, may be necessary to meet operational needs such as events and special activities.
Annual Salary / Hourly Rate : $47,411 - $54,127
