Job Summary

Reporting to the Client Projects Manager, the Project Management Coordinator serves as the main point of contact for the client, from the receipt of the signed quote through to the shipment of the order. This role acts as the coordinator overseeing the progress of client projects and serves as the liaison between various Norbec departments (Sales, Estimating, Design, R&D, Production, Logistics, Installation, and Customer Service).

Key Responsibilities

• Collaborate with the estimating team for major or complex projects to ensure client quotes are as accurate as possible
• Review client quote requests and purchase orders (POs)
• Submit quote requests for resale products not listed with suppliers or for specific logistics needs
• Negotiate storage fees when applicable
• Project Governance: Participate in project launch meetings with stakeholders (R&D, Sales, etc.); if more information is required, plan and facilitate internal kickoff meetings
• Plan and lead project launch meetings with clients and sales for complex projects
• Coordinate meetings with production and procurement to follow up on client orders (e.g., production and shipping schedules)
• Maintain ongoing communication with clients to collect missing information, address discrepancies, and provide visibility on project progress
• Request approval drawings when needed using the standard form, validate them upon receipt, and share with the client. If multiple revisions are initiated by the client, inform them of additional costs and apply the appropriate revision tag. Request engineer stamping if required
• Create orders in Epicor and monitor them through completion
• Track project execution and site progress
• Provide after-sales support when needed
• Monitor profitability of assigned projects (cost, quality, and timeline)
• Assist in onboarding and coaching team members when necessary

Education and Experience Required

• DEP or DEC in Estimating, Project Management, Architecture, or equivalent training
• Minimum 5 years of experience in a similar role
• Experience in the construction or manufacturing industry (asset)
• Strong client service and results orientation
• Proficient in reading blueprints and specifications
• Proficiency in Microsoft Office Suite
• Familiarity with AutoCAD (asset)
• ERP system knowledge (Epicor an asset)
• Familiarity with e-Plans measurement software
• Understanding of full project lifecycle stages
