Position : Investment Operations Assistant

Job Description :
Our client, a boutique global equities investment management firm, is seeking a motivated Investment Operations Assistant to join their Montreal team.
Reporting directly to partners, the successful candidate will support the securities holdings books, records, and investor services systems.
This role is integral to ensuring accurate portfolio accounting, streamlined operations, and effective reporting for both local and global clients.
Key Responsibilities :
Portfolio Operations & Securities Reconciliation
- Assist in securities reconciliation and data management.
- Conduct process analysis, re-engineering, system configuration, and testing.
- Participate in supporting portfolio accounting and reporting functions for client services.
- Maintain portfolio securities holdings and investor data in relevant systems accurately and on time.
- Contribute to the design and implementation of automated processes for portfolio and reporting.
- Support client onboarding, gather client requirements, and provide reporting support.
- Collaborate with system vendors and third parties to resolve issues, develop bespoke client solutions, and define project specifications.
- Complete investor questionnaires using an internal FAQ document.
Backup Trading Operations
- Communicate trade details to custodians and provide trade and commission reports to the portfolio management team.
- Process FX transactions, manage cash balances, and handle trade settlements.
- Run end-of-day batch files and manage trade updates in PMA.
- Process management fees and wire transfers between custodial and firm accounts.
- Facilitate onboarding of new client accounts and broker-dealers, ensuring all necessary details and settlement instructions are updated in system setups.
Business Development Support (Ad-Hoc)
- Ensure accurate maintenance of securities holdings and investor data.
- Update marketing presentations and complete investor questionnaires as needed.
Key Skills & Experience :
- Meticulous attention to detail.
- Bachelors degree in Mathematics, Economics, Engineering, Science, or a related field
- Technical skills, including proficiency in Microsoft Excel; experience with coding or programming languages is an asset.
- Exceptional research and data analysis abilities.
- Strong mathematical, written, and verbal communication skills.
- Enthusiasm for learning.
- Ability to adapt within a dynamic, multi-tasking environment.
- Background in fund administration, trading, or investment management back-office operations is an asset but not required.
