Responsibilities
- Answer incoming telephone calls on the main switchboard, connecting callers to the appropriate person or department after ascertaining the nature of the call.
- Greet patients and visitors, providing basic information and directions to the appropriate contacts or services.
- Respond to inquiries regarding patient status using the hospital computer system and / or patient lists.
- Respond to and announce Code Alerts.
- Direct calls in emergency situations.
- Assist individuals wishing to pick‑up or drop‑off packages during off hours.
- Ensure patient registration functions (inpatient / outpatient) are carried out efficiently by interviewing patients / families to collect and process registration information.
- Process admissions, discharges, and transfers.
- Receive and process appointment / test requisitions in accordance with the appropriate procedures and protocols efficiently.
- Respond to patient telephone calls to book appointments and schedule them via telephone.
- Interview patients to collect / validate demographics, financial data, and other required information, advising the patient of any needed items to bring.
- Provide appointment preparation instructions.
- Call the patient’s physician office directly or notify the patient directly regarding scheduling changes and / or cancellations of procedures.
Required Education & Certification
Certificate in a recognized Office Administration course or equivalent experience.Successful completion of a Medical Terminology course.Required Skills & Experience
Significant recent clerical experience with excellent organizational skills.Excellent keyboarding and computer skills; 60 wpm with spreadsheets and word processing.Excellent interpersonal, verbal, and written communication skills.Excellent customer service skills.Ability to organize and control all functions within the department.Knowledge of office equipment (computers, fax, photocopier, etc.).Ability to interpret instructions and fulfil them as requested.Experience with healthcare‑oriented software programs.Ability to exercise good judgement, take initiative, and work independently.Previous hospital experience.Diplomatic and tactful customer service orientation.Flexible and able to accommodate changing departmental needs.Can work well under pressure with minimal supervision.Willingness to work days, nights, and weekends.Additional Perks

Location : Multi‑site – working on site at both the South Muskoka Memorial Hospital in Bracebridge and Huntsville District Memorial Hospital in Huntsville. Applicants must reside within 125 km of one of the campuses or be willing to relocate prior to starting. Exceptions may be considered on a case‑by‑case basis.
Hours of Work : Must be available to work shifts including days, evenings, nights, and weekends. Shifts and hours may change according to departmental requirements and the collective agreement.
