Job description

Events Coordinator for provincial government agency client, North York.

Marberg Job Number : 2475.

Job Type : Temporary.

Initial Term : Immediately to July 31 2025.

Target Compensation :  From $35 to $40 per hour, with some flexibility according to experience.

Regular Work Hours : FULL TIME WORK HOURS – 7.25 work hours per day, not including .75 hour lunch break, to be worked during regular business hours, Monday-Friday (36.25 work hours per week).

Work Location : 100% onsite at client’s North York office, accessible by bus and free parking provided.

Ergonomic Requirements : in addition to desk work, the position may require extended standing, occasional bending, crouching, overhead lifting, and other ergonomic activities associated with coordinating and preparing an event space, including occasional lifting up to approximately 30 lbs.

Position Reports to : Manager, Field Operations Management

Responsibilities Summary :

To provide event planning support to government agency through significant province wide project, leading the development, planning, coordination and delivery of a wide variety of large-scale, high-profile events.

  • Lead the conceptual development, planning, coordination and delivery of multiple events of varying scales and structures, including detailed itinerary and detailed expenditure estimates and reporting.
  • Coordinate the acquisition of all resources involved in event roll out, including materials, support logistics, and supplier services such as event spaces, venues, furniture, meals, hotels, accommodations, flights, car rentals, audio-visual and other equipment.
  • Apply exceptional communication skills to logistics management with internal and external supports to ensure event success, and the development of professional communication materials (i.e. presentation decks, speaking notes, agendas) for senior level executives.
  • Ensure that key internal policies surrounding events are followed, and that programming is in compliance with the Occupational Health and Safety Act and other regulating legislation on public sector event programming
  • Review and approve expense claims for accuracy and alignment with agency policy.
  • Additional events coordination responsibilities as required.

Qualifications :

Education : Postsecondary degree or diploma in related discipline a strong asset.

Preferred Work Experience : At least 2+ years of work experience in planning, coordinating and delivering events for external stakeholder groups required.

Technical and Language Skills Requirements :

  • High level of proficiency in Microsoft Outlook, Word, Excel and PowerPoint (may be tested).
  • Exceptional English communication skills, verbally and in writing, to coordinate with a wide variety of internal and external contacts. Demonstrated experience preparing external communication for higher profile stakeholder groups is required.
  • Fluency in French a strong asset.
  • Task -Based Qualifications and Additional Attributes :

  • Highly proficient in establishing and maintaining relationships with third party contract vendors, as demonstrated by past experiences.
  • A flexible, personally motivated and organized approach to the workplace, with ability to manage unexpected challenges and problem solve independently, is essential for this position.
  • Excellent time management skills, and ability to work under pressure with grace and professionalism.
  • Personable, outgoing and comfortable working on site and managing any concerns or issues that may arise from attendees in a professional, warm manner.
  • Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organizational policy.
  • Demonstrated ability to work well independently, collaboratively and liaise effectively with a wide and diverse range of internal and external stakeholders.
  • Additional Requirements :

  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work 100% onsite as required, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities prior to assignment start.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
