Position Summary
The Recreation / Adventures in Excellence Coordinator may lead into becoming an experiential educator providing leadership development philosophies, models, team building activities and adventure training, sometimes in a supervisory role.
Additionally, this role will grow existing and potential special events business opportunities; coordinate and execute all aspects of special events necessary to ensure client satisfaction.
The Recreation / Adventures in Excellence Coordinator will be responsible for maximizing revenues, acting as a liaison between client and operating departments to ensure a successful event and re-book business.
This position reports to the Director of Team Development (AIE) and will be responsible for contacting all groups with a professional, personable, positive attitude and motivated to contribute to the success of Adventures in Excellence growth as well as assisting with all facets of the Recreation areas.
This person will be our liaison between the sales and conference team, clients, staff, partners and all parties to ensure the success of the Recreation and AIE programs.
Education & Experience
- Degree or diploma in Recreation Leadership or Business or equivalent.
- Experience in the Recreation or Hospitality field.
- Experience using the Internet, email and phone in a professional manner.
- Previous leadership experience an asset
- Very Organized and computer savvy
- Additional facilitator trainer certificates Personality Dimensions, FISH etc. an asset
- CPR, First Aid and AED Certification required
Tools & Equipment
- Computer Microsoft Windows experience, organized filing methods.
- Familiar with Photoshop and Canva
- Video Creation and building
- Strong computer and technology background
- Valid Ontario G driver’s license
- Standard First Aid- Level C
- Pleasure Craft License an asset
- Smart Serve Certificate an asset

Duties & Functions
- Make sure all group bookings are entered correctly using all processing software etc.
- Liaison with group contacts selling and booking group resort activities in Team Building Events and other special requests.
- Research, create, customize and implement new programs.
- Create requested brochures, handouts etc for clients per request for activity summary.
- Contact clients using GRC reports
- Development of programs, form the frame work for sessions and consult objectives with clients.
- Make recommendations for clients based on group goals, time, budget etc.
- Create proposals and contracts for all prospect clients and definite.
- Contact in house & external contacts for all group bookings for Recreation, Team Building Events, Entertainment and other special requests.
- Relaying all booking information to sales / conference / AV, concessions, outlets and all other pertinent departments, partners etc.
- Work with Sales / Conference to streamline booking effectiveness of special group requests.
- Create statistics and summaries of business levels, revenue and promotions past and future upon request
- Provide concise reports and / or purchase order requests for supplies and new products.
- Assist Conference team with group request / daily duties such as change logs, BEO meetings, and other request & coverage required.
- Make recommendations for procedures to streamline group activity requests.
- Keep a solid relationship between concessions, clients, staff and merchandisers etc.
- Grow revenues and work within cost guidelines.
- Match various sources of information for consistency ie. website, brochures.
- Assist in Planning, organize, set up and tear down events.
- Research costing for materials, create purchase orders and review invoices etc.
- Schedule staff for all events including vehicles and off-site programs.
- Create training for staff, how to facilitate for events, pre and post debriefs.
- Obtain materials, develop documents and create packages for events
- Negotiate cost with clients, partners etc to capture groups within their budgets while generating revenue.
- Resolves customer complaints by investigating problems
- Price out competitors’ rates and events
- Assist sales team for FAM tours / book activities, sales blitzes, after hours etc.
- Aid in resort orientation as directed to obtain staff for events.
- Work with internal teams, provide program options based on requests.
- Organize / disseminate information to all departments for all special events through emails, memos, event orders, directives, resumes and rooming list in a timely manner
