Purpose of Position
The Building Administrator intends to interact with TteS tenants for rental information and records as well as provide opportunities and services to tenants as appropriate. This position will communicate with tenants, create and update rental agreements, and coordinate with the maintenance officer for buildings and townhomes upkeep, maintenance, and renovations on rental units. The role works in alignment with TteS Housing Policy and the BCH Operating Agreement for the duration of the lease.
Duties and Responsibilities
- Coordinates day‑to‑day tenant relations and associated activities for the TteS social housing units and ensures alignment with TteS values. (90%)
- Act as a liaison between tenants, external stakeholders (e.g., rental applicants), and other community resources.
- Advise tenants on options and expectations concerning conflict resolution, breaches of tenancy agreements, and other tenancy-related issues.
- Works with the Finance department to facilitate rent billing, rent collection, and internal credit checks.
- Maintains files, lists, and reports both hard copy and in a computer database.
- Collaborates with the Maintenance Officer.
- Contacts tenants to gather and verify information to establish suitable payment arrangements of rent in coordination with the Finance Department.
- Reconciles balance sheet accounts regarding maintenance and payments on rent / arrears.
- Meet with tenants, where required, to ensure accuracy of their statements.
- Assists other TteS departments in carrying out their duties and functions for authorized work to be done on the units or surrounding property as required.
- Keeps proper records of each tenant communication and provides information to the TteS Housing Manager on a weekly basis.
- Encourages tenants to participate in community activities and workshops.
- Responds to all TteS social housing clients and prospective applicants by referring them to the appropriate TteS department and / or authority.
- Coordinates tenant selection and the eviction process when required.
- Informs tenants of new changes to any TteS on‑reserve housing policy, rental agreement, inspections, or any other responsibilities.
- Maintains copies of TteS housing communication with tenants electronically and physically.
- Provides notices to tenants of new policies, home‑maintenance tips, and other information that may be required by the Housing Department from time to time.
- Maintains a cooperative relationship with all community resources, agencies, landlords, and other housing societies / groups.
- Ensures the tenant understands the guidelines in the tenant agreement.
- Coordinates unit inspections annually, quarterly during probationary periods, and at move‑in and move‑out time.
- Responds to tenant complaints or concerns when requested by the Housing Manager.
- Is available to respond to emergency situations regarding tenants during business hours.
- Refers the TteS social housing clients to the appropriate authority, department, or contractor upon notification of a social housing related problem.
- Advertises rental vacancies on social media platforms.
- Assists TteS members with completing their housing applications.
- Delivers notices for tenants with arrears.
- Collaborates and works in teamwork with the Housing Manager on projects as needed.
- Maintains confidentiality on all matters relating to the affairs of TteS.
- Responds to all incoming requests (email / phone) in a timely manner or as otherwise set by the Housing Manager, ensuring acknowledgment, progress updates if needed, and communication of final resolution or next steps while maintaining a professional and helpful demeanor.
- Prioritizes and promptly responds to requests from upper management, providing clear and concise information and escalating any roadblocks or potential delays as necessary.
- When research is required to fulfill a request, communicates the need for additional time to the requester in a timely manner.
- Performs all duties and responsibilities in accordance with TteS policies, standards, and procedures.
Support Housing Staff (5%)
Be aware of Secwépemc cultural protocols in connection with all departmental activities.Liaise with various organizations and departments to ensure strategies are aligned and implemented accordingly.Code invoices with correct expense code.Create and follow up on contracts for maintenance / renovations with vendors or staff.All Other Related Duties (5%)
Works cooperatively with the YneT Board of Directors to support TteS’s respectful workplace and provide quality seamless customer service.Participates in workshop training programs and seminars provided by TteS to upgrade skills and knowledge relevant to the position.Demonstrates continuous effort to improve TteS operations, decrease turnaround times and streamline work processes.Shares information and requests feedback from TteS membership at General Band Meetings, Annual General Meetings, and through weekly internal communications as appropriate and requested.Professional Certification, Education and Experience
First Nation Housing Training Certificate and / or 1-year experience managing residential properties or equivalent education and experience.Prefer experience with Residential Tenancy Act.Must possess a valid Class 5 BC driver’s licence.Must possess a reliable insured vehicle.Financial Responsibility
Oversees repairs, maintenance, and landscaping budgets on‑going.Supervision or Training Duties
The position supervises the maintenance officer on work orders and rental building maintenance and repairs.Skills and Abilities
Previous experience using Rent Manager software considered an asset.Diploma in Business Administration / Finance or related discipline, or demonstrated pursuit of a degree and / or 1 year of work experience in finance or equivalent combination of education and work experience.Advanced knowledge and experience in accounting systems, word processing, and strong working knowledge utilizing Excel.Accounting and / or bookkeeping certification an asset.Strong organizing, planning, and coordinating skills.Ability to communicate effectively using tact and diplomacy.Demonstrated ability to establish and maintain respectful, productive, and cooperative working relationships.Proven experience to resolve conflicts and use good problem‑solving and judgement skills.Ability to organize work, set priorities, and provide great client service.Strong knowledge of TteS programs and services.Knowledge of Residential Tenancy Act, Canada Mortgage & Housing, and Indian and Northern Affairs Canada housing programs.Good computer skills including use of word processing, spreadsheet, and database management programs.Ability to work in a cross‑cultural setting.Strong ethics and knowledge of confidentiality.Mathematical skills to calculate rent accurately.Flexible, committed, and enthusiastic.Expectation that all TteS employees continually upgrade skills and knowledge and pursue formal training.Benefits

Pay Grade
Starting at $25.98. Additional compensation to be considered once operating.
