Summary :
The Administrative Assistant is a position serving administrative functions across various departments and divisions. This role will be based at our Calgary location. The administrative assistant provides support to our Management, Marketing, and Business Development teams along with other administrative functions.
What you will be doing :
- Strive to employ our mission statement of “Service Beyond Analysis” by providing assistance to the Management and Sales teams
- Periodic travel bookings as required
- Ordering and invoicing and mail collection
- Vendor follow-up and PO creation, sending reports and invoices
- Update Hubspot entries and create ad hoc reports
- Preparation of meeting and presentation materials
- Relieve Management of administrative functions such as planning and setting up for office meetings
- Other general office administrative tasks as required
What you bring to the table :
Minimum 2 year customer service and administrative experienceConfident computer skills (Outlook, Microsoft Office and Excel)Experience with Hubspot or similar CRM's a definite assetExcellent communication skills with clients and members of the team, both verbal and writtenExcellent planning, organization, decision making and time management skillsAttention to detail for routine tasks and commitment to quality standardsAbility to work well under pressure, handle multiple tasks within a fast-paced environmentExhibit patience and customer rapport building expertisePosition may entail exposure to confidential and sensitive information; confidentiality requiredWork Environment : This position requires a person to sit for prolonged periods of time. Manual dexterity is required to perform this position. General office environment with some exposure to laboratory environment. Compliance with established safety procedures and appropriate PPE. Repetitious work with noticeable pressure for deadlines.
