Job description

DIVERSEcity Community Resources Society is currently seeking applications from qualified candidates for a Temporary Full-time position for the role of Program Assistant Safe Haven Team in Surrey, BC. Reporting to Senior Manager, Safe Haven,The Safe Haven Program Assistant is responsible forproviding administrative and program support to ensure the efficient operationof the Safe Haven program. This role involves monitoring the Safe Haven inbox, referringclients to the appropriate team members, assisting with administrative tasks,preparing documents, taking detailed team meeting notes, and supporting teammembers with tasks related to programming and client needs.

The key areas of responsibility are :

  • Perform administrativetasks, including data entry, file management, meeting scheduling, andconference room booking.
  • Prepare and formatdocuments, reports, and presentations as needed.
  • Take detailed notes duringteam meetings to ensure accurate record-keeping and follow-up.
  • Purchase supplies forprogramming and ensure inventory is well-maintained and current, such as bustickets, refreshments, etc.
  • Assist team members withtasks related to their programming and client needs, including event planning,resource coordination, and outreach activities.
  • Maintain clear andprofessional communication with clients, team members, and externalstakeholders.
  • Support the planning and executingevents and workshops by handling logistics and participant coordination.
  • Ensure accurate andup-to-date records of client interactions and program activities.
  • Participate as a positiveand cooperative team member, attend meetings and participate in Societycommittees and events as required and / or directed.
  • Adhere to Policies andProcedures and Personnel Policies, Procedures and Practices of the Society.
  • Assist the Senior Managerwith reconciliation of program credit card, completing reimbursement forms and chequerequests, updating program and senior manager calendar, maintaining files, andcoordinating travel arrangements as needed.

Qualified candidates willpossess :

  • Post-secondary training orcertificate in Office Administration or social services field and
  • Minimum one year of relevantexperience in administrative support, program coordination, or a related field,or an equivalent combination of education, training, and experience.
  • Understanding of immigrantand settlement issues, particularly those affecting refugee claimants andvulnerable populations.
  • Excellent verbal and writtencommunication skills in English.
  • Strong organizational andtime management skills.
  • Ability to workcollaboratively within a multicultural team setting.
  • Proficiency with MS Windows,MS Word, MS Excel, and internet research.
  • High level of accuracy andattention to detail in all tasks.
  • Ability to handle multipletasks and adapt to changing priorities in a fast-paced environment.
  • A second language is anasset
  • A valid Driver's license is an asset
