Job Description

This full-time administrative position, based in northern Alberta, is part of a growing team tasked with delivering all four years of medical school in the new Northern Alberta Medical Program (NAMP). In order to increase the number of physicians trained in Alberta, particularly in the rural areas, the Faculty of Medicine & Dentistry (FoMD), University of Alberta, is partnering with Northwestern Polytechnic (NWP), based in Grande Prairie, to develop the Northern Alberta Medical Program, which is a regional distributed training site for the U of A Medical School.

Under the direction and supervision of the NAMP Curriculum Team Lead (Clerkship), the Curriculum Administrator is a key member of the Faculty of Medicine & Dentistry’s Northern Alberta Medical Program (NAMP) administrative team. This role works collaboratively with the MD Program’s Curriculum Administration Team, the Office of Rural and Regional Health (ORRH) at the University of Alberta, as well as NAMP Academic Staff Curriculum Leads, Academic Coordinators, the Assistant Dean, and other NAMP and NWP faculty and staff.

The primary responsibility of this role is to administer all aspects of the Clerkship Curriculum. Key duties include organizing courses, schedules, rotations, room bookings, and posting all related materials in the online curriculum delivery and program management system. The position liaises with students, faculty, preceptors, and instructors, and recruits or secures contributors as needed. Responsibilities also include coordinating LINK block (an intensive two-week course bridging pre-clerkship to clerkship), along with longitudinal themes, communications, OSCEs, review week, ACLS training, and support for required assessments and exams. This role also supports Clerkship Coordinators and Administration meetings.

This position is based in Grande Prairie at the Northwestern Polytechnic Health Education Centre, located in the Grande Prairie Regional Hospital.

Responsibilities

• Plan, build, and manage course and clerkship schedules in collaboration with Course and Site Coordinators, including small groups, exams, OSCEs, and clinical activities using the Curriculum Delivery and Program Management System (Cally).
• Coordinate logistics for teaching and assessments by recruiting preceptors, standardized patients, and facilitators; booking rooms and equipment; preparing learning spaces; and ensuring sessions run smoothly.
• Maintain accurate course materials and online systems by compiling schedules, learning resources, recordings, and evaluation materials in Cally and updating web pages, Google Sites, and Forms.
• Provide ongoing support to Course and Site Coordinators through meeting organization, course reviews, policy guidance, issue resolution, and day-to-day operational assistance.
• Support preceptors, instructors, and facilitators by maintaining teaching databases, confirming schedules, resolving conflicts, tracking teaching contributions, and distributing instructional materials.
• Support students throughout clerkship and courses by communicating schedules and changes, monitoring activity completion, assisting with exams and OSCEs, coordinating required training, and escalating concerns as appropriate.
• Manage rooms, equipment, and administrative processes, including space bookings, AV coordination, supply purchasing, payment processing, meeting support, and financial tracking in collaboration with other staff and internal teams.
