Job description

POSITION

We are looking for an experienced Operations Manager to join our evolving team. The successful candidate should have previous experience in managing operations within a structured environment. The Operations Manager will report directly to the Director of Operations, working in conjunction with the Sales team to assist and support them with a variety of operational tasks. The Operations Manager is the key liaison between other departments - ensuring seamless communication, efficient resource utilization, and project execution. The Operations Manager should be a high-energy, positive, and enthusiastic team player who can thrive in a fast-paced, dynamic business environment. This individual should be able to multi-task, think strategically, be proactive, and take initiative to ensure the success of all projects. This position will primarily take place in our office; however, there may be requirements to work offsite at event job sites or client meetings as necessary.

OBJECTIVE

To successfully oversee and manage the Operations department including the coordination and completion of key client projects ensuring they are completed efficiently, on time and as quoted.

DUTIES

  • Act as liaison between Sales Team and shop, warehouse, crew chiefs, etc. and maintain and manage an open line of communication between these different departments
  • Work in conjunction with Sales Team to assist in the timely and efficient dissemination of information for all projects
  • Assist the Sales team as required on large projects in the quoting / costing phase.
  • Develop a feasible plan for each project that includes key timelines, budget parameters and objectives for all project elements and disseminate that information to all team members in a timely and efficient manner
  • Oversee the financials for each project from initial budget development to final reconciliation
  • Coordinate and task relevant internal resources and third parties / suppliers for the flawless execution of projects
  • Monitor and report on project progress in real time
  • Manage and track all changes to project scope
  • Ensure high level of quality work is consistently maintained throughout all aspects of project
  • Review preliminary concept and drafting drawings as needed
  • Identify and resolve any operational inefficiencies, conflicts or perceived shortages in manpower, stock, or equipment and provide cost saving solutions
  • Oversee the operations team during the sourcing of suppliers and cross rentals as needed
  • Work in conjunction with the Operations Team as required to coordinate logistics and trucking
  • Contribute to short and long-term organizational planning and strategies, including initiatives geared towards operational excellence and efficiencies
  • Act as primary contact for all crew chiefs and work with crew chiefs to ensure a safe work environment is maintained onsite
  • Maintain, manage, and improve communication with crew chiefs including fielding questions and resolving outstanding inquiries from crew chiefs
  • Confirm that crew chiefs have reviewed their pull sheets and if time does not permit them to do so, review on their behalf and identify and resolve any conflicts
  • Review all relevant information prepared by Operations Coordinators to be sent to crew chiefs regarding upcoming jobs
  • Assist in the ongoing evaluation of crew chiefs
  • Act as a main contact during installs in the case of any issues or questions
  • Assist in problem solving, negotiating, and addressing any crew challenges
  • Estimate and establish deadlines regarding design development, custom builds, inventory requirements or cross rentals to identify any issues that may arise.

SKILLS & EXPERIENCE REQUIREMENTS

  • Proven experience in operations and project management
  • Minimum of five (5) years of professional experience in a similar position
  • BA or BS in relevant field; certification in project management / or working knowledge of production in event industry would be assets
  • Strong computer skills on PC and Mac including great working knowledge of Microsoft Office and Vectorworks
  • High aptitude for learning new computer programs / software
  • Ability to read and understand technical drawings
  • Ability to develop, manage and reconcile project budgets
  • Proficiency in English
  • Excellent verbal and written communication skills
  • Excellent organizational and time management skills
  • Capacity to establish priorities and work under pressure
  • Flexibility and adaptability to changing workloads

  • SCHEDULE

  • This position is a salaried position, and it is expected that the successful proponent manages their work hours to ensure all tasks are complete
  • Office hours are Monday to Friday from 7 : 30 am to 4 : 00 pm with evenings, weekends, and overtime on job sites as necessary
  • This position will primarily take place in our office / shop in Richmond however the Operations Manager will be required to work offsite at event job sites as required by our projects.
