Description

About you:

You are a detail-oriented professional who enjoys keeping things organized, accurate, and moving. You take pride in clean data, well-labeled shelves, and knowing exactly where every part is at any given time. You understand the importance of maintaining inventory in top shape and ensuring that proper handling procedures are followed to prevent damage and loss of materials. You are relentless in investigating, determining the root cause for inventory discrepancies and implementing effective corrective actions. You thrive in a fast-paced, cross-functional environment and enjoy supporting manufacturing, R&D, and operations teams so they always have the materials they need.

What you'll do:

  • Setup and manage warehouse areas and inventory locations, both main storage and point of use storage locations, ensuring the proper storage and identification of raw materials and finished goods.
  • Establish appropriate cycle count methodology and perform regular cycle counts, investigate and resolve inventory discrepancies.
  • Work with Engineering and Manufacturing teams to set up and maintain point of use inventory locations.
  • Regularly perform audits of inventory locations, looking for damaged, deteriorated or expired inventory, remove it from inventory through the appropriate documentation and material handling processes.
  • Perform regular stock rotation, ensuring that FIFO is practiced for all inventory.
  • Perform daily inventory transactions including receipts, put-away, transfers, issues, and returns in alignment with established procedures.
  • Maintain accurate inventory records in the ERP/MRP system, ensuring correct part numbers, quantities, locations, and lot/serial information.
  • Follow procedures for proper packaging of finished products for stocking and shipping.
  • Perform visual inspections of incoming materials, noting and reporting any damage or discrepancies to received materials.
  • Monitor stock levels for assigned categories, flag potential shortages, and support reordering activities with Supply Chain and Purchasing.
  • Support proper handling, labeling, and storage of materials, including temperature-controlled and hazardous items, in accordance with safety and quality requirements.
  • Assist with processing nonconforming material, returns to vendor, and scrap, ensuring appropriate documentation and system updates.
  • Keep inventory storage areas organized, clean, and compliant with 5S and EHS expectations.
  • Collaborate with Warehouse, Supply Chain, Manufacturing, and Quality to resolve inventory issues and improve material flow.

What you need:

  • 2–4 years of experience in inventory control, materials management, warehousing, or a related operations role.
  • Experience in a manufacturing, medical device, pharma, biotech, or technical environment is an asset.
  • Familiarity with ERP/MRP or inventory management systems and comfort working with structured data.
  • Strong attention to detail and a high degree of accuracy in data entry and record-keeping.
  • Basic understanding of inventory concepts (e.g., cycle counts, FIFO/FEFO, lot control, safety stock).
  • Proficiency with spreadsheets and basic reporting to review and reconcile inventory information.
  • Good communication and teamwork skills, with the ability to work effectively with cross-functional partners.
  • Ability to work on-site, be on your feet, and safely handle boxes, totes, and materials as required.
  • Capability to lift and carry materials weighing up to 20 kg
Bonus points for:
  • Experience with controlled environments (labs, cleanrooms) or specialized storage (cold chain, hazardous materials).
  • Knowledge of quality systems and documentation in regulated industries.
  • Forklift certification and experience
  • Experience with packaging and shipping reagents, consumables and electro-mechanical assemblies and components
  • Exposure to lean, 5S, or other continuous improvement practices.
  • Experience in a start-up or scale-up setting where processes are evolving.

Why Join Us?

At Vital Bio, you will:
  • Play a key role in ensuring that the right materials are in the right place at the right time to support groundbreaking diagnostic products.
  • You will see the direct impact of your work on production readiness, development timelines, and ultimately on patient care.
  • You will collaborate closely with Supply Chain, Manufacturing, R&D, and Quality in a fast-paced, mission-driven environment.
  • You will have the opportunity to improve inventory processes, contribute to new systems and standards, and grow your skills as the company scales and moves toward commercialization.
Compensation will be determined based on the individual’s demonstrated experience, education, training, relevant certifications or licensure, and other applicable business and organizational factors.
