Reporting to the Manager, Office Services the Supervisor, Travel & Office Services position aids with office support for managing the Reception, Office Admins and Mailroom functions of the Vancouver offices.

This motivated individual will serve as the point person to approve or delegate, for office service duties, including : Maintenance, Mailing, Supplies, Equipment, Expense Reporting, Errands, Department Purchasing.

Responsibilities :

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Review and provide guidance and or approval for inter-office events within designated meeting rooms and event spaces within the Vancouver Head Office
  • Maintain the office condition and help to coordinate necessary repairs with relevant team members
  • Update and maintain office policies, under purview, as the need arises
  • Ensure that all items are invoiced and paid in a timely manner
  • Provide general support to Reception to help facilitate visitations, meetings and events
  • Assist in the onboarding process for new hires in association to team members under purview
  • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering and security services in relevance to role and responsibilities
  • Provide policy guidance for company travel arrangers to book travel arrangements for employees, including flights, accommodations, transportation, and other necessary arrangements.
  • Coordinate with vendors and travel agencies to acquire the most favourable terms and conditions for corporate travel bookings
  • Guide and delegate appropriate service providers to employees on travel policies, visa requirements, and any necessary documentation needed for their travel
  • Manage and track travel spend reports and have them provided to appropriate internal administrators
  • Assist, when required, employees in resolving any travel-related issues or emergencies, including flight cancellations, missed connections, lost luggage, etc.
  • Conduct yearly Hotel RFP process and arrange accordingly with all required properties
  • Stay up to date with industry trends, travel regulations, and new technologies to continuously improve the travel management process
  • Maintain and update database of employee travel profiles, including preferences, frequent flyer accounts, passport details, and other relevant information

Qualifications :

  • 2-3 years of demonstrated experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Understanding of Office Administrator responsibilities, systems and procedures
  • Proficiency in MS Office applications, teams and SharePoint systems
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Demonstrated work experience as a Travel Coordinator, Travel Agent, or a similar role in corporate travel management is an asset
  • Extensive knowledge of travel booking systems, online travel portals, and travel management tools
  • Strong customer service orientation
  • Ability to work independently with minimal supervision
  • Flexibility to adapt to changing travel arrangements and schedules
  • Proficiency in written and spoken English (additional languages such as Spanish is an asset)
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills

Salary Range : $80,000 - $99,000

The actual base salary offered is determined based on the successful candidate's relevant experience, skills, and competencies and considers internal equity.
