The Maintenance Coordinator is responsible for managing the day-to-day operations of all maintenance and site safety activities at the Waterfront Training Centre (WTC), ensuring efficiency and compliance with safety standards.ResponsibilitiesSafety CommitteeActively participate in the creation and implementation of resources for the Site Safety Committee.Diligent follow-up on all Safety Committee actions items that pertain to procurement, inventory, and site design as directed by the Operations Manager (WTC).Inventory Coordination & MaintenanceComplete Parts Inventory for all equipment and PPE on site.Order and maintain supplies required for day-to-day maintenance including equipment PMs and industry PPE.Order and maintain tools, equipment, and perishable supplies used for site / office maintenance.Create the labelling system to organize job bins.Manage the current list of all new tools while confirming authorization for tool purchase under 500 and tool and / or equipment orders over $500.00 are discussed with a manager.Procurement and PurchasingProvides research and input into the financial sourcing aspects of contracts and calls for tender when information is not readily availableIdentify high impact cost reduction opportunitiesLeverage the organization’s buying power to optimize costs, access new suppliers, reduce lead times, and guarantee supplyDevelop and maintain relationships with existing and potential contractors and suppliers to the organizationPurchase, rent general and specialized equipment and materialsAssess requirements and develop specifications for equipment, materials and supplies to be purchasedInvite tenders, consult with suppliers and review quotationsAssist with determining or negotiating contract terms and conditions, award supplier contracts or recommend contract awardsEstablish logistics of delivery schedules, monitor progress and contact vendors and suppliers to resolve problemsPreventative Maintenance Software ProgramReview and update Preventative Maintenance Software Programs and Preventative Maintenance Plans, as required.Complete and document all preventative maintenance requests.Maintain and optimize Preventative Maintenance Software Implementation at the WTC. Ensure all necessary functions and information is accurate and up to date in the Preventative Maintenance Software Management System, such as parts inventory, financials and budgeting.Train on all Preventative Maintenance Software functions for required BCMEA candidates.Familiar with all the vendors and resources to fill order while maintaining a contact list to pull resources when needed.Keep detailed records of Gear and Rigging in the online Preventative Maintenance Software Program system.Equipment Maintenance & ServiceComplete, monitor, and track Preventative Maintenance Schedule.Plan services, recertifications, and inspections for all site equipment in alignment with OEM / manufacturer recommended intervals and requirements.Collaborate with the Site Manager to create, review and implement SWPs regarding any new equipment, tools or supplies used for site / equipment maintenance.Track and monitor machinery up / down time, and what equipment is needed for daily operation.Communicate with necessary Longshore personnel using Site Radios for maintenance, renewal, and updates.Promptly review and fill all pre use checklist or per use inspection paperwork and documentation. Track and review certifications, recertifications, inspections, and procurement for all necessary safety equipment and lockout devices.Ensure classroom A / V equipment in good working condition.ContractorsCoordinate and accompany contractors on site as directed by the WTC operations manager or OPS supervisor for inspections, recertifications planned and unplanned maintenance.Ensure all third-party contractors and / or visitors receive orientation pertaining to their scope of work.Ensure all third-party contractors and / or visitors receive SWPs pertaining to their scope of work.Complete accurate and timely completion and understanding of FRLAs before work begins. Maintain storage of proper records regarding orientations for contractors, operators and work orders.Order parts as required from recommended providers with consideration to cost, budgets, and equipment downtime. BudgetsCreate budgeting system for Preventative Maintenance on all machines in Preventative Maintenance Software.Create detailed pricing system for all parts and equipment required for maintenance.Maintain budgets revolved around Planning and Unplanned Maintenance, Servicing, and PMs.Monitor and maintain accurate records of budgets for parts day-to-day.Assists WTC Manager in Operating and Capital Budget forecasting and adherence.Data AnalyticsLead on data collection for daily operating report.Data analysis on machine and classroom utilization.Primary WTC liaison for all IT and Data Analytics matters.QualificationsA high school diploma or GED equivalent from an accredited secondary school institution.3-4 years of Equipment Maintenance and Operations experience in a unionized, safety-driven work environment.Strong time management and organizational skills to successfully handle several competing priorities and a fast-paced work environment.Technically versed in Microsoft 365 (Word, Excel & PowerPoint).Outstanding interpersonal and communication abilities to interact with and gather information from diverse stakeholders.
