MacEwan University is seeking an individual for a full-time continuing opportunity as a Program Assistant (Admin Support III) with the School of Continuing Education.
The Program Assistant is responsible for contributing to the success and smooth operation within the Professional and Continuing Studies unit. You will often be the initial contact with prospective and returning students, and therefore, must be knowledgeable about the University and program policies. You would respond to inquiries from students including admission requirements, course offerings, pre-requisites, registration procedures, fees and fee payments, academic and student service and online course information. You will also be responsible for specific tasks within these areas, including providing administrative support to the staff and instructors as well as responding to email and telephone inquiries.
Duties will include but are not limited to :
- Registering new and returning students for courses and collecting fee payment using PeopleSoft.
- Referring students to Program Manager / University Advisor for specific questions or concerns relating to the program or the instructor.
- Preparing reports, records and supporting documentation as directed by the unit supervisor.
- Assisting with the development of course schedules; booking rooms and equipment as required.
- Assisting in the development and distribution of marketing / program information.
- Assisting in the setup of LMS course information.
- Supporting instructors with material preparation, printing, etc.
- Processing invoices and payments.
Skills
The successful candidate will have :
Strong organizational skills.Excellent attention to detail; proof-reading and editing knowledge.Customer service skills.Computer skills including Microsoft, Meskanas (Moodle), and PeopleSoft.Expertise and competency with Microsoft Office suite, collaborative tools such as Google Drive, and other software.Strong interpersonal and problem-solving skills,Strong intercultural communication skills.Knowledge of registration systems.The ability to multi-task.The ability to work with others in a team environment.The ability to work independently on assignments.Qualifications
A minimum of a Diploma in business or office administration or related specialization.Cross cultural experience from student activities, work, volunteering, or study abroad would be considered an asset.An equivalent combination of education and experience may be considered.Benefits
