Responsibilities

As the Office Coordinator, you will be entrusted with a broad range of tasks central to the company's operations. Your primary responsibilities will include :

  • Respond promptly to all daily emails and customer inquiries.
  • Answer and action promptly all phone calls from customers and suppliers.
  • Provide necessary email and phone support for technicians and installers.
  • Manage the booking of technician service, maintenance, and warranty calls.
  • Handle the emailing of maintenance contracts for retail and commercial accounts.
  • Receive, sort, and process incoming and outgoing mail.
  • Handle and process deposits to the bank as needed.
  • Process and apply customer payments (e-transfer, walk-in) to accounts.
  • Handle walk-in customer sales and service.
  • Organize supplies / equipment and track incoming deliveries.
  • Maintain records and processes for equipment delivery.
  • Process warranty claims using systems like ServiceBench or Climateshield.
  • Process WSIB claims.
  • Qualifications

    To excel in this Office Coordinator role, you will need a strong blend of administrative and interpersonal skills. The ideal candidate will possess :

  • Exceptional organizational and time management abilities, with a proven capacity to prioritize tasks and manage competing deadlines effectively.
  • Advanced proficiency in Microsoft Excel is mandatory
  • Excellent written and verbal communication skills, enabling clear and professional interaction with clients, suppliers, and team members.
  • The ability to work independently with minimal supervision while also functioning as a collaborative and supportive team member.
  • Proven ability to multitask in a dynamic office environment without compromising the quality of your work.
  • A proactive, problem-solving mindset with the ability to anticipate needs and find effective solutions.
  • A high level of integrity and the ability to handle confidential information with discretion.
