Located at Dentalcorp’s Toronto Support Centre, you will be responsible for assisting with general office administration, administrative support and reception at the Support Centre office.
You will have the opportunity to be a key driver of our Support Centre culture.
Responsibilities
- Consistently offer professional, friendly, and engaging service to all stakeholders that interact with Reception
- Answer telephone inquiries promptly and professionally with warmth and friendliness, resolving inquiries and directing calls to appropriate departments
- Respond to emails and phone calls in a timely manner and escalate when required
- Receive all incoming guests, clients, investors, employees and executives professionally and maintain cheerful and positive manner, escorting them to the appropriate meeting room and notifying appropriate staff members of their arrival
- Maintain a polished professional image as a brand ambassador of the company
- Manage Reception desk and proactively maintain a spotless and well-organized reception area, responsible for maintaining public and shared spaces and ensures that the overall appearance of the office is immaculate, tidy and professional at all times, including the meeting rooms, supply, storage and kitchen areas
- Maintain an ongoing inventory of general office supplies, tracking usage and ordering when necessary to ensure the appropriate supplies are available
- Be part of the Support Centre Safety Committee and support safety initiatives
- Ordering and stocking of office kitchens including water and other beverages, and food items for staff members
- Manage the office functioning including printer supplies, shredding services
- Notifying team members by mail to pick up, incoming mail, deliveries and faxes to appropriate staff members
- Assist with the coordination of special events, catering for in office meetings and offsite events
- Perform clerical duties, such as, data input, correspondence, scanning and photocopying
- Act as staff liaison to building management and assist with facilities requests
What we're looking for
- Post-secondary education in a related field or equivalent work experience
- Highly service-oriented with exceptional organizational and follow up skills
- Ability to live and champion the dentalcorp values with every interaction
- Advanced MS Office knowledge (Word, Excel, Power Point, Project, Outlook etc)
- Effective communication skills (written and verbal) and interpersonal skills
- Excellent project management skills and exceptionally detail oriented
- Positive and professional demeanor with an excellent phone manner
- High customer service oriented with the ability to represent the company in a professional manner exercising good judgment, confidentiality, diplomacy and tact
- Strong interpersonal skills, and the ability to work cohesively with fellow colleagues as part of a team with minimum supervision, meet deadlines and work independently
- Demonstrated flexibility to adapt to changing priorities
