Join our dynamic mining administration team and take charge of ensuring smooth and efficient operations within our Service department. You'll handle key tasks such as preparing and distributing correspondence, managing work order processes, facilitating service communication, and organizing files and supplies. Responsibilities
- Manage work orders, ensuring accurate opening and closing while maintaining precise records of labor, parts, sublets, lubricants, shop supplies, cores, and parts credits. Invoice completed work per company policies and KPIs.
- Assist in the preparation and administration of warranty claims.
- Prepare and process requisitions and purchase orders for supplies, equipment, and services.
- Coordinate planning dates for rental equipment.
- Provide daily status updates on all open work and schedule adjustments.
- Code vendor invoices for accounting purposes.
- Assist technicians with parts ordering for jobs.
- Provide customers with information about machines and service work as requested.
- Track work order status and initiate the invoicing process.
- Issue Proforma and final invoices to customers and request purchase orders.
- Enter time for payroll and manage customer time entries using their systems.
- Perform other duties as required and assigned.
Competencies
Occasional travel to Fort McKay 1-2 per year.High school diploma or equivalent required; Business Administration Degree or equivalent is a plus.Previous experience in administration, purchase orders, and customer service is an asset.Strong organizational skills and excellent customer relations.Dynamic team player with a positive attitude.Ability to interact effectively at all levels of the business and with customers.Proficiency in Word, Excel (MS Office package).Experience with systems such as Baan or SAP is beneficial.Detail-oriented with strong organizational, verbal, and written communication skills.This position follows a Monday to Friday schedule, office environment 5 days per week.Our Offer
