Coordinator, Formula Room / Milk Handling Room and BC Metabolic Nutrition Program

What you’ll do

Develop and revise written policy and procedure for area operations by applying current knowledge of applicable standards and liaising with key stakeholders to identify interdependencies and align or integrate related policies and procedures.

Participate in revision of the operational service delivery model as required.

Oversee and direct the activities of staff performing duties in the Formula Room and Milk Handling Room. Complete ongoing performance monitoring and evaluation.

Responsible for staff orientation, training and scheduling and participates in staff selection.

Conduct regular staff meetings and in-services to identify and provide training on changes to policy and procedure. Communicate changes to identified stakeholders.

Audit compliance to policy and procedure.

  • Collaborate with the Director, Professional Practice Leader, Supply Chain, Finance, and vendor representatives, and other parties as required, to establish and monitor contracts, purchasing, billing, and inventory for the Formula Room and Milk Handling Room.
  • Collaborate with Finance to complete period end budget monitoring, and annual budget reconciliation for the Formula Room and Milk Handling Room.

Complete period end, quarterly, annual and ad hoc budget reports for individual cost centres as required. Develop action plans to respond to budget variances.

In collaboration with the Professional Practice Leader and Director of Intercampus Operations, participates in budget planning for area cost centres.

Collaborate with vendor representatives to troubleshoot problems related to purchasing, billing, and inventory for the Formula Room and Milk Handling Room.

Assists HEU staff to troubleshoot problems between clinicians / clinical areas and Formula Room / Milk Handling Room, and with product vendors.

Create and manage the inventory of human milk, infant / enteral formula, and supplies by liaising with stakeholders to identify needs;

collaborate with supply chain to identify and procure appropriate products to meet the identified clinical requirements, considering the program mandate and financial parameters as required.

  • Maintain established systems for patient and client records, and participate in systems change initiatives to ensure data is maintained in accordance with standards.
  • Develop, maintain and distribute the Infant and Enteral Formulary. Monitors product information from manufacturers to ensure accuracy of Formularies.

Maintain departmental resource files for current product information and references on Formularies.

Provide information and facilitates in-service education opportunities for health care personnel and / or clients as required.

Maintain after hours supply cupboard.

  • Participate in practice and advisory councils as required. Participate in supply chain contract management processes by providing clinical judgment regarding infant, enteral and metabolic formulas.
  • Perform other related duties as assigned.

What you bring

Qualifications

  • Graduation from an academic program in dietetics approved by the College of Dietitians of British Columbia.
  • Three (3) years recent, related clinical experience and recent related experience in business operations; One year supervisory experience or an equivalent combination of education, training and experience.
  • Full registration in the College of Dietitians of British Columbia, including Restricted Activity A.

You will also have

  • Knowledge of standards and regulations including but not limited to : health and food safety standards, food premises regulations, infant formula preparation standards, infection control standards, Canadian Standards Association for Health Care Facilities, Canadian Breastfeeding Council Accreditation Standards for Baby Friendly Accredited Hospitals, privacy and confidentiality standards.
  • Ability to communicate with, and to deal effectively with co-workers, physicians, other health care professionals, patients and their families and / or caregivers and vendors.
  • Ability to work as a team member and to deal effectively with patients, customers, families, caregivers, vendors and health professionals.
  • Ability to organize work and prioritize workload and perform duties in a busy workplace setting.
  • Ability to supervise and direct staff.
  • Knowledge of business processes and planning.
  • Ability to operate related equipment including knowledge of computer applications including word processing, spread sheets, web design and data bases.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
  • Knowledge of social, economic, political and historical realities impacting indigenous communities and familiarity with Indigenous Cultural Safety and anti-racism and accompanying reports (BC DRIPA, TRC, etc.).
