National Receiving Assistant

About The Role
The National Receiving Assistant is an in-office customer service and data entry focused role which supports our dealerships across Canada with validating and entering receiving data for parts into our ERP system. The National Receiving Assistant ensures that all inventory physically received at multiple locations across Canada is verified and entered into the ERP system correctly and matched to the invoice for Accounting. This role assists in identifying pricing errors and pursuing invoice corrections from vendors. The National Receiving Assistant is held accountable for ensuring accuracy and timeliness of work.
Primary Responsibilities
- Enter parts orders received into the ERP system according to the verified packing list and the vendor’s invoice
- Account for freight costs and ensure correct allocation within the ERP system
- Verify cost calculations ensuring freight and exchange rates are accounted for
- Obtain invoices from Vendors and pursue corrections where necessary
- Account for all orders for parts inventory that have not been received into inventory
- Account for outstanding invoices with locations determining if the shipment has been delivered
- Monitor and process vendor credits for product returns
- Update and maintain prices of parts where required
- Other responsibilities as assigned

1–2 years of experience in a data entry, administrative, accounting support, or customer service role.High school diploma, post‑secondary education in Business Administration, Supply Chain, Accounting, or a related field is an asset.Additional training or certification in inventory management, accounting fundamentals, or data entry considered an advantage.Experience working with ERP systems (IDS preferred) in a parts, service, or inventory‑related environment.Previous exposure to receiving, inventory control, or order processing considered beneficial.Demonstrated experience handling invoices, matching documentation, or reviewing cost / price accuracy is an asset.Proficiency with Microsoft Office (Excel, Outlook, Word) with strong comfort working in spreadsheets and reviewing numerical data.Compensation & Benefits
