Base pay range
CA$50,000.00 / yr - CA$60,000.00 / yr
Key Duties And Responsibilities
- Perform confidential accounting functions : prepare Accounts Payable and Accounts Receivable; code invoices, track payables, manage cash flow; prepare rent roll, weekly deposits; process and distribute resident statements, including extra billings, telephone, guest meals and other service charges; receive, count, or pay out cheques and / or cash; prepare security deposit refunds; maintain all administration records, costs, supplies, storage, and ensure payments are authorized by GM or department head; submit accounting details to Junior Accountant at head office within monthly accounting cycle and as needed.
- Prepare and process confidential payroll : use Quadrant Workforce system; manage schedule, submission of hours, wages, new employees, terminated employees; verify timesheets and / or timeclock data; submit employee paperwork to benefits and payroll administrators at head office within pay period cycle and as needed.
- Record, sort, file, and retrieve confidential information : routine entries in files, books, or on forms; keep tallies or lists; sort, file or retrieve information in existing filing system; search for missing files, forms, orders, etc.
- Prepare confidential written reports.
- Review forms, reports and correspondence for completeness and accuracy.
- Check the work done by others to ensure procedures and / or instructions have been followed.
- Process requests and receptionist duties : receive and review incoming correspondence, telephone calls, or other requests from residents, families, professional community, suppliers, etc.; prepare responses to inquiries; respond to telephone inquiries; respond to emergency calls; greet visitors.
- Manage staff : train, schedule, evaluate, and discipline reception staff; ensure full coverage at front desk; create schedules.
- Utilize various computer programs including Microsoft Office, Quadrant, and Workforce.
- Operate and ensure office machines (e.g., copiers and fax machines) are working and well maintained.
- Maintain and order office supplies.
Qualifications
Skilled at problem‑solving, including identifying issues and resolving them in a timely manner.Strong interpersonal skills.Ability to prioritize and plan work activities to use time efficiently.Organized, accurate, thorough, and able to monitor work for quality.Dependable, able to follow instructions, respond to management direction, provide performance through management feedback.Ability to establish and maintain good interpersonal relations by displaying tact, courtesy and patience with applicants, clients, and staff.Understand and perform accounting, administrative, payroll, reception duties, and related procedures.Education / Training
High school graduation or equivalent.Knowledge and proficiency of MS Office (PowerPoint, Excel, Outlook, Teams).Experience using Quadrant Workforce and Quadrant Financials is an asset.Ability to type 50+ words per minute.Salary
CA$50,000 - CA$60,000 yearly, depending on experience.
Schedule
Monday‑Friday : 8 : 00 am‑ 4 : 00 pm (negotiable).
Experience
At least five years of clerical and / or office experience.At least five years of accounting and payroll experience.Minimum one year in a manager or supervisor role.Previous supervisory experience is an asset.Personal
Must be able to speak English fluently and communicate effectively both verbally and in written materials.Must pass a Criminal Record Check.Working Conditions
This position works in an office environment during regular business hours; employee must have reliable transportation to the site and is required to work 40 hours weekly.The Administrative (Admin) Assistant will work under the direction of the General Manager. The Administrative Assistant will perform confidential clerical and administrative duties for the General Manager; to assist in the management of the site and to provide support to the residents, their families, and staff.
