Job Duties Job Duties The Simulation Coordinator position incorporates new technological advancements and innovations in healthcare, with a focus on enhancing the quality and effectiveness of simulation learning experiences. The role involves staying up-to-date with emerging technologies, collaborating with the administration of the simulation center, including inventory and utilization data, and developing training materials based on best practices for simulation staff and users. The Simulation Coordinator maintains the inventory management system, ensuring accurate records, and providing ongoing support and training for simulation staff. The position requires critical thinking, problem-solving, and the ability to adapt to fast-changing requests and troubleshoot complex issues in real time. Leadership skills are essential, as the Simulation Coordinator collaborates with staff and departments, coordinates workloads, and mentors the team. Additional responsibilities include product research, evaluating industry standards and pricing, ensuring timely delivery of supplies, and supporting multiple sites by assisting with ordering, packing, and shipping for both local and out-of-province locations. The role involves coordinating with program heads, faculty, and user programs to align simulation activities with curricular goals, mentoring the Sim Assist team, and fostering effective teamwork.
Simulation Production and Delivery
- Ensuring simulation equipment is regularly updated, properly maintained, and in optimal working condition to meet learner needs.
- Collaborating with programs to review lab setups, ensuring all requirements are met and providing guidance on the proper operation of requested equipment.
- Coordinating the acquisition, storage, setup, and distribution of supplies to support simulation activities.
- Maintaining accurate records for technical equipment and simulation scenarios.
- Ensuring sufficient inventory levels are consistently maintained to meet program needs.
- Safeguarding the security of all Simulation Centre Labs, ensuring a safe and controlled environment.
Laboratory Operation
Developing and implementing efficient methods for delivering equipment and supplies to meet Simulation Centre needs.Leading, planning, and organizing tasks to ensure smooth operations.Contacting vendors to obtain quotes and manage the efficient procurement of supplies.Overseeing the inventory of consumable supplies, durable goods, and assets, ensuring accurate records through the inventory management system.Collaborating with Simulation Assistants and Technicians to coordinate asset maintenance and repairs, ensuring optimal performance of simulation equipment.Researching and evaluating new technologies to continuously enhance the simulation lab experience for learners.Supporting the development of moulage techniques to simulate realistic injuries, diseases, and health conditions for training, on both simulators and standardized patients.Assisting with both capital and non-capital procurement requests, preparing purchase orders, conducting product research, and providing clear rationale for acquisitions.For capital purchases, ensuring compliance with industry standards and securing necessary approvals.For non-capital requests, anticipating future needs, recommending appropriate items, and performing industry-standard assessments.Working with vendors to facilitate equipment repairs and coordinating technician visits as required.Maintaining data integrity and consistency in simulation reporting, ensuring accuracy and efficiency in all records.Scheduling and overseeing annual maintenance for simulation equipment, including ceiling lifts, Smart Pumps, and simulators, ensuring equipment is in optimal working order.Compiling and regularly updating Safety Data Sheets (SDS) for all Simulation Centre equipment and materials.Coordinating the tracking, receipt, and proper storage of all purchased supplies to ensure seamless operations.Coordinating with Facilities to ensure proper maintenance, setup, and readiness of spaces and equipment.Simulation Centre Development
Collaborating provincially as needed, including occasional travel, to support the development and enhancement of simulation centres across campuses and within brokered college programs.Contributing expert knowledge on technical requirements to assist in the development and optimization of simulation resources at all campuses.Providing orientation, mentorship, coaching, and guidance to Simulation Centre staff and users to ensure consistent best practices and operational excellence.Facilitating the lending of equipment and surplus supplies to other campuses within Saskatchewan and across provinces as necessary.Managing the sharing and transferring of assets between programs and, when needed, between campuses to ensure optimal resource utilization.Assisting in planning and implementing key Simulation Centre initiatives, including campus relocations, lab expansions, and maintaining the inventory management system.Communications, Collaborations and Interactions
Fostering positive, collaborative relationships with Simulation Centre users to ensure a productive and efficient working environment.Reporting to the Program Head on strategies for improving operational efficiencies and enhancing processes within the Simulation Centre.Building and maintaining strong relationships with external service providers and vendors to ensure timely and effective service delivery.Developing and implementing standardized processes and procedures (in collaboration with the program head) to administer the day-to-day operations of the Simulation Centre across the province.Preparing cost breakdowns for chargeback, ensuring accurate and transparent financial reporting.Collaborating with Simulation Centre staff to conduct regular inventory counts, manage assets, address specific lab requests, and oversee equipment maintenance and repairs. QUALIFICATIONS, SKILLS, ABILITIES AND EXPERIENCE Specific Accountabilities Duties Required Qualifications, Skills and Abilities (QSA)Graduate of a post-secondary health sciences program or an equivalent combination of education, training, and experience.Strong understanding of medical terminology and current products and procedures used in health education simulation, including the operation of simulation software.A minimum of three years of experience in a healthcare setting, health education environment, or simulation learning environment.Training or experience at the Intermediate level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Highly analytical with the ability to prioritize tasks effectively to meet the demands of laboratory exercises across multiple labs and campuses. Strong organizational skills, with the ability to establish workflow priorities, meet deadlines, and complete tasks with minimal supervision.Ability to work effectively as part of a team, collaborating with colleagues across departments and campuses. Demonstrates respect for diversity and works inclusively with people from all equity groups.Capable of lifting more than 30 lbs.Ability to take initiative, work independently, and handle responsibilities with minimal supervision.Strong interpersonal, problem-solving, and communication skills, both oral and written.Ability to work effectively with a large team within the Simulation Centre, Sask Polytech, and our external partners.Understanding of hazardous substances, the transportation of dangerous goods, and biological waste management, including WHMIS (Workplace Hazardous Materials Information System).Demonstrates valuing diversity.Desired QSA Required Competencies
