We are seeking a highly organized and detail-oriented Office Administrator to join our Team in Vaughan.

As the Office Administrator, you will provide exceptional administrative support according to the needs of our clients.

Duties and Responsibilities :

  • Greeting guests and employees; answers inquiries or direct where necessary.
  • Distribution of mail / couriers, arranging outgoing mail / couriers, ordering and stocking office and kitchen supplies.
  • Maintaining office equipment.
  • Create office memos and informational postings.
  • Review and approval of print and swag to comply with branding.
  • Scheduling workspace reservations and catering needs.
  • Supporting Manager’s with travel arrangements, expense reports, complex meetings arrangements and assist with clerical duties including filing, data entry, record review and maintenance, etc.
  • Other duties and tasks as assigned by Executive Assistants.

Qualifications :

  • 1 years' experience providing administrative support in a professional, fast-paced, and deadline-driven environment is an asset
  • Exceptional commitment to client service and continuous improvement.
  • Ability to deal with highly confidential information; diplomacy, conciliation and discretion are all vital in this role.
  • Strong organizational skills, with strong prioritization; ability to work on multiple projects simultaneously.
  • Ability to work with minimal supervision and direction.
  • Excellent verbal and written communication skills.
  • Strong attention to detail, research, and problem-solving skills.
  • Effective decision-making ability.
  • Confident communication and active listening skills.
  • Excellent interpersonal skills and a demonstrated ability to build effective relationships and work collaboratively in a team environment.
  • Demonstrated enthusiasm for continuous learning relevant to the role.
  • Flexibility to work overtime, when required; and
  • Computer savvy; ability to become proficient with various software applications specific to the company’s needs. Advanced level knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat.
