GENERAL ACCOUNTABILITY

Reporting to the Chief Executive Officer (CEO), and in collaboration with the Leadership Team, the Corporate Services Manager is accountable for providing high level administrative and operational support to the Chief Executive Officer, the Leadership Team and the Board of Directors and its Committees.

SPECIFIC ACCOUNTABILITIES

  • Oversight for all special projects, event planning / coordination, including organization and successful implementation.
  • Ensures the smooth operation of day-to-day functions of all sites of the organization.
  • Provides executive administrative support for corporate based projects.
  • Leads the procurement, purchasing and inventory processes (including PPE) for the organization.
  • Develops and implements policies that support overall business operations.
  • Prepares materials and presentations for meetings (internal and external), conferences and events including recording minutes and tracking action items.
  • Assists with preparation of reports and other documents for internal and external stakeholders including the Annual Report, Consumer Experience survey and other stakeholders.
  • Prepares expenses, make travel arrangements, registrations, coordinate payments.
  • Coordinates office activities and events, troubleshoots, or escalates office administration issues.
  • Acts as liaison to coordinate effective and timely communication with Ontario Health, other funders, government stakeholders, healthcare agencies / organizations and all other external stakeholders.
  • Sets up and maintains an accurate documentation and filing system as required, electronic and hard copy.
  • Provides all necessary administrative support for the Board of Directors including preparation and distribution of approved Board, Board Committee and Annual meeting notices, agendas, reports, materials, and presentations.
  • Prepares and maintains bylaws, policies, and other public and confidential documents of the Board and its committees in an accurate and timely manner.
  • Assists with the maintenance and / or implementation of accreditation standards related to this role and the organization in general, ensuring changes are accurately documented and up to date.
  • Prepares corporate payroll for approval.
  • Coordinates organizational events including but not limited to fundraising events, service awards and others as required.

SKILLS AND QUALIFICATIONS

  • Bachelor's degree or equivalent post-secondary education.
  • At least five (5) years direct administrative work experience
  • Exceptional attention to detail
  • Superb interpersonal and negotiation skills
  • Strong written and spoken communication skills (English) and demonstrated ability to compose correspondence (letters, memos, etc.) and prepare professional documentation (reports, presentations, spreadsheets, newsletter, etc.) with a high degree of accuracy and attention to detail
  • Proficient with technology (required : Microsoft Word, Excel, PowerPoint, Outlook, Publisher), office equipment and strong aptitude to learn how to use IT tools
  • Possess sound judgment and the ability to effectively problem solve or assess the situation to determine the urgency and risk, and escalate accordingly
  • Resourceful, self-starter, able to work with minimal direction, and able to manage their own time and projects
  • Highly organized, possess a solid ability to plan, organize and effectively manage large volumes of work with a high degree of accuracy
  • Ability to multi-task, manage and meet timelines, and work well under pressure; able to manage stress, adapt and move easily with change
  • Must possess high level of confidentiality and discretion
  • Passionate about delivering excellent customer service, and presenting a professional image
  • SPECIAL CONDITIONS

  • A Criminal Record Check will be conducted prior to and periodically throughout employment.
  • Flexibility required to occasionally work extended hours and weekends, as the need arises.
