Job description

Position Purpose and Summary

The Assistant Manager, Admissions, participates in the active, year-round process of recruiting, counselling, and enrolling students. As a leader on the Admissions team, the Assistant Manager will train and supervise the Junior Admissions team and ensure deliverables are met, while assisting in coaching Admissions staff to deliver timely, accurate information and service to prospective students through appropriate recruitment, counselling, and management of assigned portfolios. The Assistant Manager is an essential element in leading the Admissions team to achieving University enrolment goals.

Key Areas of Accountability

Goal Achievement :

  • Manage assigned recruitment portfolio and recruit students to fulfill established goals.
  • Assist the Admissions Manager in achieving established recruitment goals by providing leadership support to the Admissions team.

Manage and Coordinate Assigned Student Recruitment :

  • Travel to assigned events to promote the university. Complete visits to high schools, churches, college fairs, and conferences.
  • Establish and maintain relationships with assigned schools, churches, and organizations that result in enrolled students.
  • Encourage Admissions Counsellors and set an example in maintaining ongoing contact with students and parents via phone, e-mail, individual appointments, and letters.
  • Admissions Counselling :

  • Provide personal, individual counselling to prospective students / parents assisting as the student prepares to attend TWU.
  • Complete appointments as required giving guidance throughout the admissions process.
  • Assist with providing campus visits and tours to prospective students / families / groups as requested.
  • Coordinate and Manage Day-to-Day Department Initiatives :

  • Facilitate the admissions process for prospects from recruitment portfolio.
  • Assist the Admissions Manager in ensuring team members focus on quality customer service, while achieving key benchmarks and goals.
  • Assist with TWU admissions event and recruitment initiatives.
  • Liaise with any regional fundraising and Alumni representatives to follow-up with prospective students.
  • Maintain contact with representatives to update them on current university life, campus developments, and recruitment activities.
  • Team Participation & Training :

  • Set an example for the Admissions Counsellors, consistently modeling professionalism, efficiency, and high-level productivity.
  • Actively contribute to the annual enrolment plan with the Enrolment leadership team.
  • Be actively involved in assisting with the training of new Admissions Counsellors.
  • Assist in leading team meetings and key training opportunities throughout the year.
  • Provide feedback to the Enrolment leadership team for the purposes of supervision and the performance review process.
  • Be an example in daily work ethic and professionalism.
  • Collaborative Partnership Building :

  • Foster campus cooperation, mutual understanding and appreciation through liaising with campus departments as required, outside institutions as well as parents, students, and other customers.
  • Serve as a member on the various committees as assigned.
  • Assist the Enrolment leadership team and other Admissions Counsellors as required.
  • Participate in on-going Personal Development :

  • Expand knowledge of Admissions profession through regular involvement in professional activities such as the annual NACCAP workshop, reviewing literature related to recruitment in higher education, and other topics relevant to the promotion of university education at TWU.
  • Encourage, support, and mentor Admissions Counsellors to engage in professional development.

  • Skill in developing a recruiting plan for assigned portfolio with well-established rationale for such a plan.

  • Able to talk intelligently about all aspects of Trinity Western University to prospective students and parents.
  • Able to adapt presentation content and style according to audience. Understands the key components of being a successful Admissions professional and able to communicate those to new counsellors.
  • Able to manage his / her recruitment portfolio in an efficient manner so that additional office responsibilities may be assigned.

    Standards & Requirements

    Education : Bachelor’s degree in related field is required. Preference will be given to coalition of Christian Colleges and University graduates.

    Experience : 2-4 years Admissions Counsellor experience.

    Duties and responsibilities that do not constitute a major change may be added, deleted or changed at any time at the discretion of the supervisor either orally or in writing.
