Provide support and services in support of the client programs, including all its major and minor capital projects, and other program activities as required.
- Assist with strategic planning including but not limited to ISTAR Programme Road Map;
- Assist with all business and corporate planning activities;
- Review and contribute to PM documentation activities, including but not limited to reports, returns, and other remits;
- Participate in and coordinate all project related meetings and working groups including major milestone events;
- Maintain a procurement initiation request tracking system through a database and dashboard;
- Perform data entry, extract and analysis using a variety of software systems;
- Support responses to financial audit queries;
- Produce financial reports as required;
- Liaise and coordinate routine cost centre management activities with the Manager and / or Administrators as well as the Business Management Team (BMT), as needed;
- Maintain a tracking system and associated training needs;
- Process travel requests in accordance with DND and Treasury Board travel directives;
- Maintain a travel database as well as provide information or updates to any databases maintained by the BMT;
- Gather and consolidate Information Management requirements for projects;
- Develop and maintain information architecture that assists the clients sub sections and aligns with the overall client information architecture concept;
- Provide information management support and advice to all project stakeholders;
Qualifications
Proof of an Undergraduate level university degree in any discipline or Proof of a College diploma in Engineering Technology, Information Technology, Project Management, Business Administration or suitable engineering or technical field;Minimum of 4 years experience in each assessment area's criteria :Working with Project Scheduling software such as MS Project, including schedule creation, progress tracking, resource workload management and forecasting;Taking minutes of meetings, preparing Records of Decision, and tracking Action Items using business productivity software;Providing administrative support to project teams in the tracking of project deliverables, bring forward items, and meeting tracking and coordination;Preparation of forecasting documents such as task estimates, proposals, cash flow & expenditure estimates and related materials;Performing cost accounting functions such as tracking of project expenses (travel / claims), verification of invoices;Working with workflow automation and collaboration IT systems such as SharePoint;PMP Certification is an asset;Overseas travel may be required.Additional Information
