About As part of the Asset Management (AMG) team, the Administrative Agent reports to the Senior Manager, AMG. The incumbent will be responsible for supporting the AMG team in Canada and the USA. This position covers all provinces in Canada - bilingualism is an asset. The Administrative Agent plays a pivotal role, supporting and working in close collaboration with the AMG team, the Senior Manager AMG, Collections, Recovery, Legal & Debt Resolution, Sales, Credit, and Accounting.
Responsibilities
- Administration of all auction assets with various auction houses, facilitating the sale, ensuring statements and funds are received, and managing internal / external communications with respective parties.
- Arrange and follow up on title / ownership documentation and / or registrations for plated vehicles / equipment, including discussions with government offices (e.g., Quebec).
- Address and resolve all third-party liens levied against assets after the recovery process is completed.
- Data entry and maintenance in various systems including Salesforce and InfoLease.
- Prepare sales invoices.
- Assist the AMG team by following up on outstanding inspection reports and photos from external reseller partners, primarily in Quebec, and provide support for other provinces.
- Follow up for proceeds of sale from partners or buyers.
- Audit AMG file folders to ensure proper documentation and approvals are in place.
- Manage the AMG daily report to capture mandatory data and notify AMG team members of any missing components, following up as needed.
- Provide backup support for similar AMG roles in the USA.
- Ensure process and procedural manuals are regularly updated and current in MHCCNA systems.
- Provide ad hoc report assistance and support monthly / quarterly reporting requirements.
- Assist the Senior Manager, AMG and team with new project initiatives by providing recommendations, participating in testing and implementation.
- Other duties as required.
The Profile We Are Looking For
Post-secondary diploma in Business or Office Administration (or relevant administrative experience supporting Collections / Asset Management).Proficient with MS Office, including Excel.English speaking; bilingual French / English is an asset to serve clients and partners across Canada and the USA.General knowledge of PPSA / RPMRR equipment lien registry processes (preferred).Equipment Finance industry experience (preferred).Excellent communication skills, organization and time management.Detail oriented, data entry, and coordination skills.Sales support knowledge; ability to manage multiple tasks and workflows simultaneously.Ability to function autonomously and proactively with minimal supervision.Energetic with a high level of integrity and good judgment.What We Have To Offer
