Administrative Assistant, Chair, Community Learning Supports & Regional Stewardship
Salary : $47,976 to $58,548 per year

Qualifications :
- College Certificate in Office or Business Administration, one-year university or equivalency;
- Two to three years of experience within an office or educational environment requiring similar duties;
- High level skills with MS Office 365 including : MSWord, Excel, Access, PowerPoint, and Outlook;
- Excellent communication skills;
- Strong service orientation and excellent customer service skills;
- Ability to work in a complex, multifaceted environment with a variety of responsibilities and deadlines;
- Team oriented with a friendly, positive, “can-do” attitude; and
- A combination of education, training, and experience may be considered.
Scope of Work :
The Administrative Assistant, Chair, Community Learning Supports & Regional Stewardship reports to the Chair, Community Learning Supports & Corrections Education and the CCEC Executive Secretary. This position is responsible for the direct administrative support to the Chair, the department, and the CCEC. The Administrative Assistant works closely with the team to support all program initiatives at the College.
Duties and Responsibilities :
Providing administrative functions for the Chair
Provide day-to-day administrative support including drafting emails, letters and other correspondence;Acquisition and organization of supplies for consultations and meetings as necessary. Keeping an inventory of basic office supplies;Filing information in a manner consistent with the College Records Management procedures. Ensure confidentiality of all documents;Answer basic inquiries from staff, students, and the public. This is done in person, on the phone or by email;Operate office equipment : Computer, Photocopier, Telephone and Printer;Produce word processing and spreadsheet documents;Sort and properly distribute incoming and outgoing mail;Organize logistics for consultation sessions and meetings both online and in-person;Provide effective note-taking at working sessions both in-person or online;Edit and format documents and correspondence as required;Liaise with various campuses and departments regarding planning efforts as required;Digitization and data-entry of raw notes or hardcopy survey responses as required;Support financial processing of invoices including coding, approval and submission;Generate updated financial reports for multiple budgets; andSupport reconciliation of credit card statements monthly.Community Education Committees
Confirm all meetings with Student Learning Assistants (SLA);Assist in the organization and record keeping, including taking minutes, of the Council of Community Education Committee meetings;Review and follow up on all CEC minutes;Serve as a resource for all SLAs to ensure consistency among communities and support new SLAs to learn the CEC function;Assist with budget requirements and financial tracking; Financial record keeping of honorariums;Financial record keeping of all Awards;Purchase Awards;Update all CEC budgets on a monthly basis;
Assist with tracking and following up on all motions;Maintain and track the status of action items as determined by the CECs;Maintain CEC contact information list;Book guest speakers for CEC meetings;Booking any travel for the Chair;Update all site information from the Chair;Support SLAs in ordering supplies for all CEC committee meetings;Compile site and data information; andPromote College programs.Onsite learner and instructional staff support
Proctoring exams;Assisting with orientation, distributing books; andRoom booking for public training.Successful candidate must provide College or University transcripts and a clean Criminal Record Check to Human Resources prior to commencement.
This position is covered under the Collective Agreement between Northern Lakes College and the Alberta Union of Provincial Employees.
