The Job

Key Responsibilities :

Invoice Processing :

  • Request, review and process pro forma invoices from suppliers in accordance with company policies.
  • Compare pro forma invoices to purchase orders and warehouse receipts to ensure accuracy and compliance.
  • Documentation Support :

  • Assist in the preparation and maintenance of three-way match documentation for all procurement transactions.
  • Collaborate with the finance team to ensure all invoices are matched and discrepancies are resolved promptly.
  • Communication and Coordination :

  • Liaise with vendors, the purchasing team, and warehouse staff to ensure smooth procurement operations.
  • Support the Supply Chain team in tracking order status and delivery timelines.
  • Reporting and Analysis :

  • Generate reports related to procurement activities, identifying any discrepancies or areas for improvement.
  • Assist in maintaining accurate records of procurement transactions and related documentation.
  • Process Improvement :

  • Participate in identifying opportunities for process improvements within the procurement and invoicing workflow.
  • Contribute to the development and implementation of best practices in procurement coordination.
  • The Profile

    Qualifications :

  • Bachelor’s degree in Business Administration, Finance, or a related field preferred.
  • Previous experience in procurement, finance, or supply chain management is an advantage.
  • Strong attention to detail with excellent analytical and problem-solving skills.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and procurement software.
  • Effective communication and interpersonal skills.
  • Ability to work collaboratively in a team environment.
  • Technical Skills

  • Proficiency in Notion for project management, task organization, collaboration, and documentation.
  • Proficiency in Slack for effective communication, collaboration, and team coordination, including channel management, file sharing, and real-time messaging.
  • Proficiency in GSuite for productivity, document management, and collaboration, including Gmail, Google Drive, Google Docs, Sheets, and Slides.
  • Familiarity with Loom for creating and sharing video content, including screen recordings, tutorials, and presentations, to enhance communication and training within teams.
  • Familiarity with Fulfil.io (ERP) is a plus but not required.
  • Soft Skills

  • Strategic thinker with a data-driven approach to decision-making and problem-solving.
  • Ability to work in a fast-paced, high-growth environment while maintaining a high level of accuracy and attention to detail.
  • Strong collaboration skills, capable of working across departments and with external stakeholders.
