About the Role
With exceptional customer service as fundamental for all operations at the Cougars Campus Store, the Inventory Coordinator assists in all aspects of online orders, receives and processes shipments, offers general administrative assistance, and provides ongoing support to all inventory processes and merchandise movement.. This position is also responsible for all outgoing shipments to ensure they are processed in a timely and efficient manner, thereby improving store profitability and promoting textbook affordability. Other duties include : offering general store support, processing merchandise returns, as well as assisting with convocation and other events across campus.
This is a full-time replacement term position working 35 hours per week and ending 10 / 31 / 2025.
Responsibilities
Online Order Fulfillment
Fulfilling, picking and processing online orders and meal plan orders daily , with an emphasis on taking the lead during back-to-school periods.
First point of contact for resolution of all online customer service issues and communications including monitoring online order email, Campus Store email and website chat.
Refund or cancel orders in the Campus Store ERP as required.
Assists with monitoring the status of backorders by liaising with the text, trade and general merchandise departments on late, missing or unfulfilled orders from vendors.
Assists with overseeing the online order / return window to offer the highest level of customer service during the back-to-school period.
Shipping and Receiving (Inventory Processing)
Assists the Inventory Control Supervisor with the receiving of new goods; including quality control, counting, matching quantity received to quantity billed and checking for correct items and provides a copy of the invoice to the ICS noting discrepancies.
Informs Inventory Control Supervisor of items received without an invoice.
Uses the Campus Store ERP to create an item receipt to add the merchandise to the system, making it available for purchase.
Assists Inventory Control Supervisor with invoice reconciliation, credit reconciliation, order tracking and issue resolutions as directed, send invoices and receiving documents to Accounts Payable.
Ensures all areas of the backroom are neat, tidy, safe and organized;
Assists the Inventory Control Supervisor in processing damaged or defective merchandise including contacting the vendor for approval to return and credit note.
Assists the Inventory Control Supervisor in returning damaged or overstock merchandise to vendors; including printing pick lists, picking items and ensuring accuracy, noting damage where necessary, preparing shipping documents and packaging returns.
Inventory and Merchandise Support
Performs E-book reconciliation as directed by the Inventory Control Supervisor.
Executes daily inventory counts as assigned by the Inventory Control Supervisor; including identifying items to be counted, submitting results to the ICS and recounting as needed.
Assists Inventory Control Supervisor in preparing full physical inventory sessions, recounting, and resolving discrepancies.
Reports any inventory concerns, errors, or discrepancies to the Inventory Control Supervisor.
Use the Campus Store ERP to create bundle adjustments for course materials or promotional sales as directed by the Inventory Control Supervisor.
Adheres price tags or asset protection security to items received, as directed by the Inventory Control Supervisor.
Updates retail pricing as directed, including price increases, “as-is” clearance pricing, and periodic mark-downs.
Assists with the store merchandising and stock replenishment of textbooks and course materials.
Work with the Retail Supervisor and Merchandising Specialist to move newly received merchandise to the floor.
Customer Service and Campus Engagement
Supports front-line customer service with all general enquiries including, but not limited to, textbooks, general merchandise, digital print services, ONE Card, and all products and services available through the CCS as needed.
Works with MRU partners and stakeholders outside of the Cougars Campus Store on projects such as the Crowchild Classic, convocation, sales at games, etc.
