Employment Type: Contract | Part-Time (Approximately 15 Hours/Week)
Contract Duration: 12 Months, with Potential for Extension
Industry: Utilities / Energy Infrastructure

About the Opportunity

MatchBox Consulting Group is seeking an experienced External Funding Program Administrator to support one of British Columbia's largest utility providers.

This is an excellent opportunity for a detail-oriented professional with experience in financial reporting, project controls, contract administration, or government funding programs to contribute to important renewable energy infrastructure initiatives.

The successful candidate will support the administration of a federal funding program providing up to $50 million toward infrastructure upgrades that enable renewable energy integration in remote BC communities.

This is a part-time position averaging approximately 15 hours per week, offering a largely remote work arrangement with occasional attendance at the Burnaby office.

Key Responsibilities

  • Administer an ongoing federal contribution agreement, ensuring compliance with funding requirements, reporting obligations, and submission deadlines.

  • Coordinate quarterly funding claims, progress reports, supporting documentation, and internal approvals.

  • Collaborate with project managers, finance teams, cost analysts, contract professionals, and other stakeholders to gather and validate financial and project information.

  • Review detailed financial workbooks, cost data, and supporting records for accuracy, completeness, and compliance.

  • Maintain organized, audit-ready records, including claims documentation, reporting materials, and funding correspondence.

  • Track project milestones, financial forecasts, funding contributions, and potential funding reallocations.

  • Serve as the primary day-to-day contact with the external funding organization, responding to inquiries and coordinating reporting requirements.

  • Identify potential compliance issues, reporting discrepancies, and contractual concerns, escalating matters to appropriate stakeholders.

  • Support internal reporting, meeting preparation, and stakeholder communications.

  • Assist with additional commercial management activities, including financial analysis, business cases, and funding applications, as required.

Qualifications & Experience

  • Approximately 5–8 years of relevant experience in finance, project controls, financial reporting, contract administration, project management, or a related discipline.

  • Bachelor's degree in Finance, Business, Accounting, or a related field.

  • Professional accounting designation, such as CPA, is an asset.

  • Experience coordinating financial reporting, funding claims, compliance documentation, or recurring project deliverables.

  • Strong understanding of financial processes, cost tracking, reporting requirements, and document management.

  • Advanced proficiency with Microsoft Excel, including detailed financial workbooks and tracking tools.

  • Proficiency with Microsoft Office, SharePoint, Teams, and Outlook.

  • Excellent organizational skills, with the ability to independently manage multiple stakeholders, deadlines, and reporting requirements.

  • Strong written and verbal communication skills, including the ability to summarize complex financial information clearly.

  • Ability to interpret reporting guidelines, identify discrepancies, and exercise sound judgment when escalating issues.

Nice to Have

  • Experience working with government funding programs, contribution agreements, grant administration, or funding claims.

  • Previous experience supporting utility, energy, infrastructure, or capital construction projects.

  • Familiarity with public-sector financial reporting and regulatory compliance.

  • Experience with financial forecasting, risk assessment, or business case development.

  • Exposure to regulatory submissions, funding applications, or audit preparation.

  • Previous experience working with SAP or similar financial management systems.

Why Consider This Opportunity?

  • Flexible, part-time schedule: Approximately 15 hours per week, with additional hours possible depending on project needs.

  • Primarily remote: Work remotely with expected attendance at the Burnaby office at least once per month and as required.

  • Meaningful projects: Support renewable energy integration and infrastructure improvements in remote BC communities.

  • Collaborative environment: Work with multidisciplinary teams across finance, engineering, commercial management, and project delivery.

  • Long-term program exposure: Contribute to an established funding program with reporting requirements anticipated through 2030.
