Administrative Assistant - Intermediate (Calgary)

Onsite contract opportunity supporting appeal hearings, case administration and decision preparation for an Alberta public-sector tribunal.
- Fully onsite in downtown Calgary.
- Monday–Friday, 8:00 a.m.–4:00 p.m. Alberta time (7.25 hrs/day)
What & Why:
Our client is seeking an organized, detail-oriented Administrative Assistant to support the delivery of workers’ compensation appeal hearings. As an Appeals Assistant, you will coordinate pre-hearing administration, assist participants on hearing days, manage recordings and maintain accurate appeal records. You will also format and proofread written decisions, helping ensure they are ready for publication and distribution. This role combines careful document work with front-line client service. You will need to manage competing priorities, resolve unexpected issues and communicate calmly with people who may be experiencing distress.
Who:
Reporting to the Senior Appeals Assistant, you will support Appeals Officers, Hearing Chairs, Vice Chairs, Commissioners and external parties participating in appeals. The organization operates in a structured tribunal environment where accuracy, professionalism, confidentiality and timely communication are essential.
You:
You bring strong administrative coordination and proofreading skills, sound judgment and confidence working with diverse stakeholders. You can move between detailed document preparation, client inquiries, technology troubleshooting and time-sensitive follow-up. Your experience may come from tribunal or hearing administration, legal support, workers’ compensation, case administration, public-sector services or another role with comparable responsibilities.
Critical Experience Requirements:
- High School Diploma or GED.
- At least two years of relevant experience in a similar role.
- At least two years using Microsoft Office Suite tools.
- At least two years solving problems and troubleshooting in a fast-paced environment, working independently and within a team.
- At least two years adapting to new business environments, working with business and technical teams, coordinating vendors, managing stakeholder relationships and supporting collaboration.
- At least two years working with clients or stakeholders to identify, gather, document and analyze business data and process requirements.
- Clear written and verbal communication and the ability to interact professionally with diverse groups.
- Strong organization, prioritization and attention to detail.
Nice to Have:
- A degree, diploma or certificate in office administration.
- Two years of information governance, records-management or information-management experience.
- Two years of experience with information-management concepts and privacy/security issues relating to ATIA and POPA, including relevant experience under the former FOIP framework.
- Two years of experience working directly within the Government of Alberta, with 1GX, or in a comparable Canadian public-sector ERP environment.
- Two years of workers’ compensation systems experience, such as WCB.
Compensation:
Hourly contract compensation will be discussed based on experience, engagement structure and alignment with the client’s requirements.
