The Business Application Analyst supports the organization by analyzing business needs, improving processes, and enabling effective use of technology, applications, and data. This role works collaboratively with stakeholders to gather requirements, support system implementations, ensure data quality, and deliver solutions that align with organizational objectives.
The Business Application Analyst plays a key role in bridging business and technical teams, support system enhancements, reporting, quality assurance, and continuous improvement initiatives, while ensuring compliance with applicable regulatory and reporting requirements, including responsibility for ministry reporting and data submissions.
Key Responsibilities
Business Analysis & Stakeholder Engagement
- Collaborate with business units to gather, document, and validate business requirements
- Translate business needs into functional and technical specifications
- Facilitate meetings, workshops, and discussions with stakeholders across departments
- Provide guidance and support to users on business processes, system functionality, and best practices
- Act as a liaison between business stakeholders, IT teams, and external partners
Data Management, Reporting & Compliance
- Analyze, validate, and ensure integrity of organizational data across systems
- Coordinate, validate and support the submission of Ministry, regulatory and statutory, and other internal and external data collections and reporting requirements.
- Interpret and apply business rules, policies, and regulatory requirements to data collection and reporting processes
- Ensure data submissions supporting funding, accountability, audit, and compliance obligations are complete and meet established standards, timelines, and audit requirements
- Investigate data discrepancies, perform root cause analysis, data reconciliation and implement corrective actions
- Collaborate with stakeholders to resolve data quality and compliance issues
- Develop and maintain documentation related to data definitions, reporting procedures, and compliance requirements
Regulatory & Ministry Compliance
- Interpret and operationalize regulatory guidelines, policies, and reporting instructions into business processes
- Provide subject matter expertise and guidance to stakeholders on compliance requirements
- Support organizational accountability by ensuring data accuracy for regulatory submissions, audits, and funding-related processes
- Liaise with external agencies and regulatory bodies, as required, to clarify requirements and resolve issues
- Monitor changes to legislation, policies, and reporting standards, and assess impacts to systems and processes
- Recommend and implement process or system changes to maintain ongoing compliance
- Coordinate and support responses to Ministry inquiries, audits, compliance reviews, data validation activities, and other reporting obligations.
Systems & Application Support
- Provide second-level support for business applications, including troubleshooting, issue resolution, and coordination with business and technical stakeholders.
- Monitor system performance and coordinate with technical teams to resolve issues
- Participate in system upgrades, enhancements, and implementations
- Develop and maintain user documentation, training materials, and support resources
- Evaluate and recommend system enhancements, process improvements and technology solutions.
Quality Assurance & Testing
- Develop and execute test plans, test cases, and test data to validate system functionality
- Ensure alignment between business requirements and system solutions through testing and solution validation activities
- Identify, document, and track defects, issues, risks and process gaps and support resolution efforts
- Participate in user acceptance testing (UAT) and release validation and post - implementation verification activities
- Promote best practices in testing and quality assurance
Project & Process Improvement
- Participate in and/or lead projects related to system implementation, enhancement, or process improvement
- Analyze current business processes and identify opportunities for optimization and efficiency
- Support change management activities, including communication, training, stakeholder engagement and adoption
- Contribute to the development of policies, procedures, and standards
- Coordinate business analysis, testing, reporting and stakeholder activities in support of projects, implementation, and operational objectives.
Education
Completion of an undergraduate university degree in Information Technology, Computer Science, Information Systems, Business Technology, or a related field, or a combination of education, training, and experience deemed to be equivalent.
Relevant professional certifications in areas such as IT service management, business analysis, project management, or data privacy would be considered an asset.
Experience
- Min 5 years Application & development support required
- Min 5 years Application/Business Analyst experience required
- Min 3 years Project Management and Leadership required
- Min 3 years experience with enterprise solutions, with focus on education applications required
- 2 years Familiarity with school enrolment procedures experience preferred
- 2 years Proficiency with Excel and software related programs preferred
Knowledge & Skills
- Strong analytical and problem-solving skills with attention to detail
- Experience in business analysis, data analysis, systems support and enterprise applications
- Understanding of privacy, security, regulatory and compliance frameworks, particularly in data reporting environments
- Knowledge of software development life cycle (SDLC), project methodologies, and requirement gathering and analysis
- Knowledge of testing methodologies and quality assurance practices
- Ability to interpret, analyze and manage complex data sets, business and reporting requirements
- Strong communication and interpersonal skills
- Ability to manage multiple priorities, competing deadlines and changing business requirements
- Proficiency with reporting tools, spreadsheets, and enterprise business applications
- Ability to learn and adapt to new technologies, digital tools, and evolving business needs
Additional Requirements
- Provide a current Criminal Record and Judicial Matters Check (CRJMC) screening upon hire.
