Commercial Administrator (Major Civil Infrastructure)

Compensation: $90,000-$110,000 (based on experience)

THE OPPORTUNITY:
Our client is looking for a Commercial Administrator to join a growing project team supporting the delivery of large-scale infrastructure projects across the GTA.
This is an excellent opportunity for someone with experience in construction administration, contract administration, project coordination, procurement, or commercial support who wants to develop their career within a sophisticated project environment.
You’ll work closely with the commercial and project teams, gaining exposure to subcontract administration, change management, cost reporting, procurement, payment processes, and project controls.
WHAT YOU'LL DO:
- Provide day-to-day administrative and coordination support to the commercial and project teams.
- Assist with the preparation, distribution, execution, and tracking of subcontracts, purchase orders, change orders, and related documentation.
- Maintain accurate and organized contractual, commercial, procurement, and project records.
- Coordinate subcontractor onboarding and track required documentation such as insurance, bonds, agreements, and statutory submissions.
- Maintain logs for contracts, purchase orders, changes, claims, notices, correspondence, and other commercial activities.
- Support the administration and tracking of change requests, quotations, approvals, and change orders.
- Assist with monthly cost reporting, forecasts, project reporting, and commercial updates.
- Support the review and processing of subcontractor and supplier invoices and payment applications.
- Work with project teams to verify quantities, progress, approvals, and supporting documentation.
- Assist with procurement activities, including RFQs, bid documentation, quotation tracking, and procurement records.
- Prepare meeting agendas, minutes, action-item logs, and follow-up documentation.
- Draft, format, and distribute commercial correspondence, reports, notices, and project documentation.
- Coordinate with subcontractors, suppliers, consultants, and internal stakeholders to obtain outstanding information.
WHAT YOU'LL BRING:
- Diploma or degree in Construction Management, Engineering, Quantity Surveying, Business, Commerce, Finance, Accounting, or a related discipline.
- 4+ years of experience in construction administration, commercial administration, contract administration, project coordination, procurement, accounting, or a related role.
- Experience within construction, civil infrastructure, transportation, transit, or other major project environments is an asset.
- Familiarity with subcontracts, purchase orders, change orders, invoices, payment applications, and project documentation.
- Strong organizational skills and the ability to manage multiple deadlines and competing priorities.
- Exceptional attention to detail.
- Strong written and verbal communication skills.
- Comfortable working with multi-disciplinary teams, contractors and stakeholders.
- Experience with project management, document control, accounting, or contract administration software is an asset.
