LOCATION: North Vancouver (Hybrid)

EMPLYMENT TYPE: Full-time, Permanent

As we continue to grow, we’re looking for a Project Administrator to play a key role in supporting the administrative backbone of our project delivery. Sitting within our Corporate Services Business Unit, this role works cross-functionally across Maven’s other business units, helping keep projects organized, compliant, and moving smoothly from initiation through closeout.

Responsibilities

This work requires collaboration with project managers and project teams across all Maven business units, and reports to our Corporate Services Manager. The core responsibilities include:

  • Assign and track project and proposal numbers in accordance with Maven’s numbering system, maintaining accurate and up-to-date records.
  • Support project initiation and setup, including opening new project files, populating standard templates, and coordinating kickoff documentation with project teams.
  • Coordinate project closeout activities, including finalizing documentation, archiving project records, and confirming all administrative requirements have been completed.
  • Track staff training, certifications, and compliance requirements across the company, flagging upcoming renewals and maintaining accurate compliance records.
  • Maintain document control processes across active projects, ensuring files, templates, and records are organized, current, and easily accessible to project teams.
  • Support the ongoing development and implementation of Maven Hub, assisting with content organization, testing, and user adoption across business units.
  • Provide other office and administrative support as needed, helping keep day-to-day operations running smoothly.

Requirements

Who we are looking for

  • Diploma or degree in business administration, office administration, or a related field (or equivalent experience).
  • Certificate in project administration, document control, or a related discipline would be an asset.
  • 2+ years of experience in an administrative, project coordination, or document control role, ideally within engineering, construction, or infrastructure consulting — would be an asset.
  • Strong organizational skills and high attention to detail, with the ability to manage multiple priorities and deadlines across teams.
  • Proficient with Microsoft Office and SharePoint (or similar document management platforms).
  • A collaborative, service-oriented approach and comfort working cross-functionally across business units.

Compensation

Individual compensation packages are based on various factors unique to each candidate including skillset, experience, qualifications, and other job-related reasons. The salary range for this role is from $60k to $75k per year.
