Job description

Maintenance Administrator
Vaughan, ON | 18-Month Contract

Our manufacturing client in Vaughan is seeking a highly organized Maintenance Administrator (Maintenance & Tech Services Coordinator) to support maintenance, engineering, procurement, and capital project activities.

Duties:

  • ERP/CMMS and maintenance coordination (35%) – administering asset and work-order records, tracking maintenance activity and costs, coordinating service providers, and preparing reports.
  • Maintenance and engineering procurement coordination (25%) – preparing RFQs, organizing quotations, creating requisitions and purchase orders, tracking deliveries, expediting critical shortages, supporting vendor onboarding, and resolving invoice/payment issues.
  • Capital project and contractor coordination (15%) – supporting approved projects through budget and commitment tracking, scheduling, contractor onboarding, safety documentation, shutdown planning, and project close-out.
  • Technical document control and records management (15%) – maintaining drawings, manuals, OEM documentation, quotations, reports, and project records, including revision control and departmental repositories.
  • Financial, HSE and department support (10%) – reconciling purchase orders, receipts and invoices; supporting budget and audit reporting; and maintaining assigned training, contractor, HSE and corrective-action records.

You Bring:

  • 2-year college certificate required; 3-year diploma preferred
  • 1-3 years of related experience (3-5 years preferred)
  • Background in Business Administration, Office Administration, Supply Chain, Project Management, Engineering Technology, or a related field
  • Experience with ERP/CMMS systems and purchasing processes
  • Strong Microsoft 365 skills
  • Excellent organizational, communication, and multitasking abilities
  • Experience with document control, technical records, and manufacturing environments preferred

This position splits time between the office and plant floor, so candidates must be comfortable working in a manufacturing environment and following PPE and site safety requirements.
