Our client, a large global consulting firm within real estate, engineering and architecture industries, is seeking a dependable, service-oriented Part-Time Receptionist to support the day-to-day operations of their professional office in Markham This is a highly visible, client-facing role responsible for managing the reception function while ensuring the office environment is organized, welcoming, and running smoothly.
The successful candidate will be friendly and professional, comfortable interacting with employees, clients, visitors, couriers, and building management, and proactive in identifying and addressing day-to-day office needs.
This is an in-office position, 3–4 days per week, with the regular schedule expected to be Tuesday, Wednesday, and Thursday, with Mondays potentially required. Shift Hours are 8:00am-5:00pm including a 30 minute lunch.
Key Duties & Responsibilities:
- Serve as the primary point of contact for incoming phone calls between 8:00 a.m. and 5:00 p.m.
- Answer, screen, and direct calls in a professional and courteous manner.
- Welcome and assist clients, visitors, and employees as required.
- Provide a consistently professional and service-focused experience at reception.
- Collect incoming mail from the ground-floor mail area and notify the appropriate employee via Microsoft Teams.
- Coordinate courier pickups for packages being sent by employees.
- Receive and distribute incoming courier packages to employees.
- Ensure mail and packages are handled promptly and efficiently.
- Complete a daily walkthrough of the office floor to proactively identify deficiencies, maintenance requirements, and general workplace needs.
- Check meeting rooms to ensure they are clean, organized, and ready for use.
- Load and unload the dishwasher twice daily and maintain the general cleanliness and organization of shared kitchen areas.
- Monitor office coffee, kitchen, copy room, and other workplace supplies.
- Maintain appropriate inventory levels and place orders for supplies as required.
- Coordinate with the landlord regarding building repairs, maintenance concerns, and other facilities-related issues.
- Communicate office-wide announcements and workplace updates through the appropriate internal communication platform.
- Assist with general administrative and office-support tasks as required.
- Prepare and coordinate the distribution of laptops and access badges for new employees.
- Assist with ensuring new hires have the necessary workplace materials and equipment upon joining.
- Provide general support to employees regarding day-to-day office needs.
Key Qualifications:
- Previous experience in reception, office administration, customer service, workplace services, or a similar role is an asset.
- Client-facing and highly service-oriented with a professional and welcoming approach.
- Fluent in English, with strong verbal and written communication skills.
- Dependable, punctual, and reliable.
- Strong attention to detail and organizational skills.
- Proactive and comfortable identifying and addressing issues without needing to be asked.
- Comfortable interacting with employees at all levels, clients, visitors, vendors, couriers, and building management.
- Strong team player with a positive and helpful attitude.
- Comfortable using Microsoft Teams, Outlook, and other standard office technology.
- Able to manage routine responsibilities independently while responding flexibly to changing office needs.
Compensation:
The successful candidate will receive hourly compensation of $17.95/hour and be paid weekly based on submitted and approved timesheets.
