We are currently looking for a bilingual Office Administrator to join our Armco team. The Office Administrator supports the efficient day-to-day operation of the Armco office. This role coordinates administrative procedures, maintains office records, assists with local accounting activities, responds to leasing and tenant inquiries, and serves as the first point of contact for visitors.
Key Responsibilities:
Office Administration
- Coordinate general office operations, procedures, correspondence, filing systems, and shared-drive documentation.
- Maintain organized and accurate office records, manuals, reports, and internal documents.
- Prepare, review, and format documents and reports, ensuring accuracy and professionalism.
- Maintain knowledge of ongoing projects to provide effective administrative support to the team.
- Order and manage office supplies and assist with office equipment procurement when required.
- Receive, distribute, and track incoming and outgoing mail, couriers, and packages.
- Manage petty cash and prepare or modify purchase orders for supplies and services.
Accounting Support
- Complete local accounts payable and accounts receivable duties and serve as the office’s primary contact for related inquiries.
- Process cheques and prepare bank deposits.
- Maintain accurate financial records and supporting documentation.
- Coordinate with the Accounting team to resolve discrepancies and ensure timely processing.
Leasing and Tenant Support
- Respond to leasing inquiries received by telephone, email, and walk-in visitors.
- Provide prospective tenants with general property and availability information.
- Respond to tenant questions relating to move-ins, move-outs, and other property matters.
- Act as a liaison between tenants and the Maintenance team when service or repair assistance is required.
- Track inquiries and follow-up items to ensure timely responses and resolutions.
Reception and Office Support
- Answer and direct incoming telephone calls.
- Welcome visitors and direct them to the appropriate team member.
- Maintain a professional, organized, and welcoming office environment.
- Assist with special projects and perform other related duties as assigned.
Qualifications and Skills:
- Post-secondary education in business administration, finance, or a related field, or an equivalent combination of education and experience.
- Minimum of three plus (3+) years of related administrative experience.
- Fluency in spoken and written English and French is required.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Previous accounts payable or accounts receivable experience is considered an asset.
- Experience with Yardi or another property-management system is considered an asset.
- Real estate or property-management experience is considered an asset.
- Excellent communication, customer-service, organizational, and time-management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Ability to handle confidential and sensitive information professionally.
- Self-motivated, dependable, and able to work independently and collaboratively.
