MAKING AN IMPACT

The Specialist, Special Events, Quebec, will be responsible for rebuilding the organizing committee and overseeing the execution and logistics of the Souper de la jonquille in Quebec City. Reporting to the Manager, Special Events, the successful candidate will work closely with internal and external teams to foster collaboration and ensure the successful execution of all events, working alongside volunteer committees, partners, sponsors and suppliers. This involves maximizing revenue by building relationships within the business community and creating major events that demonstrate the impact of donations on the future of cancer.

The Specialist, Special Events, will be responsible for working with volunteer committees in leadership positions to help implement the operational plans and logistics developed for the Souper de la jonquille in Quebec City. This position involves close collaboration with staff members, donors, suppliers and volunteers to ensure that all logistical components of events are established, implemented and completed on time and within budget.

WHAT YOU’LL BE DOING:

  • Continuously manage objectives, revenues and expenses to ensure we are on track and alert management in case of risk.
  • Ensure that all critical deadlines are met.
  • Create, update and maintain all event tracking documents, including table/ticket sales, sponsorships, donations, budget, show schedule, etc.
  • Help the committee by writing the meeting minutes and ensuring the follow-up of deliverables by internal teams.
  • Coordinate contracts with suppliers, sponsors and other partners.
  • Develop, analyze and report on the monthly progress made toward achieving the established objectives.
  • Record and process donations, sponsorships, in-kind donations and other revenues, and enter them into a database and a customer relationship management system.
  • Create and continuously update the coordination guide and documents related to event execution.
  • Review and update existing operational documents.
  • Ensure the retention of corporate and individual donors, before and after events.
  • Assist members of the volunteer committee as well as sponsoring partners.
  • Coordinate and lead meetings with members of the relevant teams across the organization to ensure they clearly understand the expected outcomes, responsibilities and deadlines.
  • Work closely with internal leadership teams to develop and implement marketing, advertising and social media plans for all events.
  • Establish strong working relationships with team members, suppliers and donors.
  • Contribute to our culture of diversity, inclusion, belonging and equity (DIBE) by ensuring that all staff feel represented, valued, and heard across all aspects of their identity, including gender, age, religion, ethnicity, nationality, race, and sexuality.

QUALIFICATIONS:

  • 3 to 5 years of experience in special events planning, revenue development or a related field, or an equivalent combination of education and experience.
  • Strong project management skills.
  • Maintaining a network and having connections in the business community of Quebec City and Montreal is an asset.
  • Proven ability to interact with senior business leaders and community leaders. Knowledge of the local philanthropic community is an asset.
  • Superior verbal and written communication skills and proven interpersonal skills, including presentation and facilitation abilities.
  • Demonstrated ability to work under pressure and meet deadlines.
  • Great attention to detail and excellent organizational skills.
  • Strong organizational and problem-solving skills, with a proven ability to demonstrate ingenuity and creativity.
  • Strong technical skills and extensive familiarity with online platforms. Working knowledge of Salesforce, an asset.
  • Ability to work a flexible schedule, including evenings and weekends, and to travel to attend meetings or workshops.
  • Bilingualism (French/English) is highly preferred, with French being required and English being an asset due to the organization’s nationwide operations
