Principal duties of the Senior Payroll Specialist - Contract:
Our client, a leading fertility clinic with multiple locations across Ontario, is seeking an experienced Senior Payroll Specialist to join their team on a 3-month contract assignment.
For the right candidate, there is strong potential for the role to convert to a permanent position. The role is in office located in downtown Toronto.
The successful candidate will be hands-on, detail-oriented, and capable of managing all aspects of payroll operations independently while ensuring accuracy, compliance, and exceptional service to employees and stakeholders.
Key Responsibilities:
Payroll Administration
- Own and manage the full-cycle bi-weekly payroll process for less than 250 employees.
- Process payroll for a largely hourly workforce, including overtime calculations, shift premiums, salary continuance, top-ups, retroactive payments, and other payroll adjustments.
- Validate payroll inputs, review calculations, and reconcile payroll data prior to processing.
- Maintain employee payroll records and ensure payroll transactions are processed accurately and on time.
Benefits & Pension Administration
- Administer employee benefit deductions and employer contributions within payroll.
- Manage pension deductions, reporting, and reconciliation activities.
- Support administration and reporting requirements related to the Healthcare of Ontario Pension Plan (HOOPP).
- Ensure accurate treatment of taxable benefits and related payroll reporting obligations.
Compliance & Reporting
- Ensure compliance with Canadian payroll legislation, including federal and Ontario provincial regulations.
- Prepare and submit statutory remittances and payroll-related reports.
- Manage WSIB reporting, Employer Health Tax (EHT) requirements, and other regulatory filings.
- Support year-end payroll activities and ensure compliance with all payroll reporting requirements.
Payroll Operations & Problem Resolution
- Investigate and resolve payroll discrepancies, processing issues, and employee inquiries.
- Act as the primary point of contact for payroll-related matters during the contract period.
- Identify risks and implement corrective actions to maintain payroll accuracy and compliance.
- Collaborate with HR, Finance, Benefits providers, and external stakeholders as required.
Process Ownership
- Take full ownership of payroll operations with minimal supervision and onboarding support.
- Maintain payroll procedures and ensure continuity of payroll operations throughout the contract.
- Recommend process improvements and identify opportunities to increase efficiency and accuracy.
Required
- Payroll Compliance Practitioner (PCP) designation or equivalent payroll certification.
- Significant experience processing Canadian payroll in a senior payroll capacity.
- Proven hands-on experience with ADP Workforce Now.
- Strong knowledge of Canadian payroll legislation, statutory deductions, remittances, and regulatory reporting requirements.
- Experience managing payroll for hourly employees, including overtime calculations and payroll adjustments.
- Demonstrated experience with benefits administration, pension deductions, taxable benefits, WSIB, and EHT.
- Ability to work independently and assume immediate ownership of payroll operations.
- Strong analytical, problem-solving, and reconciliation skills.
- Exceptional attention to detail and commitment to accuracy.
- Excellent written and verbal communication skills
Preferred
- Experience with HOOPP pension administration and reporting.
- Advanced proficiency with Microsoft Excel and payroll reporting.
- Experience supporting payroll audits and compliance reviews.
