Client: Government of Nova Scotia – Department of Labour, Skills and Immigration

Location: Halifax, Nova Scotia – Maritime Centre, 1505 Barrington Street

Contract Duration: September 11, 2026 – November 19, 2026

Employment Type: Contract / Temporary

Schedule: 5 Days per Week | 7 Hours per Day

Position Overview

We are seeking a professional and client-focused Clerk 2 (ADM03) to provide front-line client service and administrative support within the Department of Labour, Skills and Immigration. The successful candidate will work under general supervision and will be responsible for responding to client inquiries, supporting administrative processes, maintaining accurate records, preparing correspondence, and ensuring efficient day-to-day branch operations.

This role requires strong communication skills, sound judgment, attention to detail, confidentiality, and the ability to apply established policies, procedures, rules, and regulations effectively.

Key Responsibilities

  • Provide professional front-line customer service to clients through in-person, telephone, and email communication.
  • Respond to inquiries accurately and in a timely manner, following established policies, procedures, and service standards.
  • Identify issues requiring escalation and refer complex matters to the appropriate team member or supervisor.
  • Provide general administrative and clerical support to departmental programs and services.
  • Prepare, review, distribute, and file correspondence and other administrative documents.
  • Maintain accurate electronic and physical records while ensuring confidentiality and information security.
  • Coordinate and support routine administrative processes and day-to-day office operations.
  • Use sound judgment when selecting and applying appropriate established procedures and work methods.
  • Maintain office supply inventory and support petty cash administration, where required.
  • Assist with preparing expense claims and other administrative documentation.
  • Receive, sort, and distribute inter-office mail and correspondence.
  • Enter, update, retrieve, and maintain information using electronic information systems.
  • Utilize Microsoft Office applications and other departmental systems to support administrative activities.
  • Support the team in maintaining efficient, professional, and client-focused service delivery.
  • Work independently while contributing effectively as part of a collaborative team.
  • Perform other related duties consistent with the Clerk 2 classification.


Requirements

Mandatory Qualifications & Skills

Candidates must meet the following requirements:

  • Canadian Citizen or Permanent Resident of Canada.
  • Completion of secondary school (Grade XI minimum).
  • Post-secondary education OR a minimum of two (2) years of related administrative or client service experience, or an equivalent combination of education, training, and experience.
  • Demonstrated experience providing front-line customer/client service.
  • Experience responding to inquiries professionally and within established timelines.
  • Experience performing administrative and clerical duties.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and other standard office tools.
  • Experience working with electronic information systems and maintaining accurate records.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently with minimal supervision.
  • Ability to exercise sound judgment and make appropriate decisions within established policies and procedures.
  • Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Strong interpersonal skills and ability to contribute effectively within a team environment.

Preferred / Asset Qualifications

The following skills and experience will be considered assets:

  • Experience using LaMPSS.
  • Experience with Microsoft Lists.
  • Experience working with case management systems.
  • Previous experience supporting government, public sector, or highly regulated environments.
  • Knowledge of established administrative procedures, policies, acts, rules, and regulations.

They should be comfortable interacting with diverse clients, managing administrative tasks, maintaining accurate records, and working within established procedures while exercising sound judgment and professionalism.
