Office Coordinator – Customer Service & Scheduling

$26–$28/hour, based on experience
Handyman Connection Victoria is looking for an organized, personable, tech-comfortable Office Coordinator to keep our clients, contractors and daily workflow moving smoothly.
This role blends customer service, scheduling, administration and follow-up. You'll communicate with clients, coordinate with contractors, manage job information and make sure the right details reach the right people at the right time.
This is not a call-centre or data-entry role — it's a hands-on office position for someone who enjoys variety, likes helping people, and can juggle day-to-day tasks while keeping the bigger picture in view. Construction experience isn't required, but you must be comfortable working with people, learning software, keeping accurate records and following tasks through to completion.
What You'll Do
- Respond to client calls, emails, texts and online requests
- Coordinate communication between clients, contractors and the office
- Ask the right questions, understand requested work and document it accurately
- Schedule assessments, jobs and follow-ups
- Track estimates, scheduled work and outstanding items
- Maintain accurate client, contractor and job records
- Keep clients informed throughout the process
- Help contractors get the information they need
- Spot missing information, scheduling conflicts and issues early
- Assist with reports, documentation and general office admin
- Look for ways to improve office processes and efficiency
What We're Looking For

Experience in construction, home services, scheduling or dispatch is an asset, not required.
Technology Matters
Strong computer literacy is essential — job-management/CRM software, email, calendars, spreadsheets, cloud documents and multiple systems throughout the day.
AI experience is an asset — and we mean more than using ChatGPT or Claude as a search engine. We're interested in candidates who've used AI or other tech to improve a process, build a useful tool or template, organize information, solve a problem or cut down repetitive work.

Location: Esquimalt, Victoria, BC
Position: Full-time
Schedule: Monday–Friday, 8:30 am–4:00 pm
Compensation: $26–$28/hour, based on experience
