Job summary This position is responsible for coordinating the administrative, operational, and financial activities that support the Economics, Research and Analytics teams .

Reporting to the Chief Economist, the role serves as a central point of coordination for departmental planning, budget administration, meetings, projects, and information management.

The position facilitates effective communication and collaboration across ERA and with internal stakeholders to ensure priorities, deliverables, and departmental operations are executed efficiently.

How you will make a difference Department and Executive Coordination Coordinates operational and administrative activities for the Chief Economist and ERA leadership team to support department priorities and strategic objectives.

Coordinates complex calendars and scheduling requirements, balancing competing priorities and deadlines.

Supports departmental planning activities and assists with the coordination of annual work plans and key initiatives.

Organizes leadership meetings, departmental meetings, and special events, including agenda preparation, logistics, materials, and follow-up activities.

Acts as a key liaison with internal stakeholders to facilitate information sharing and coordination across the organization.

Financial and Budget Administration Coordinates financial administration activities to support effective budget management and departmental reporting.

Supports annual budget development and forecasting activities through data gathering, tracking, and validation.

Monitors departmental expenditures and maintains financial records to support reporting and decision-making.

Processes invoices, corporate card reconciliations, expense submissions, and training-related expenditures.

Liaises with Finance regarding accounts payable, budget inquiries, and expenditure tracking.

Information and Operational Management Coordinates departmental information, records, and operational processes to support business continuity and organizational effectiveness.

Maintains departmental documentation, resources, and internal information repositories.

Supports updates to StaffSpace, departmental communications, subject matter expert listings, and related resources.

Coordinates training registrations, departmental records, and operational reporting requirements.

Ensures information is organized, accurate, and accessible to support departmental activities Project and Initiative Support Provides coordination support for departmental projects and cross-functional initiatives.

Tracks action items, timelines, deliverables, and meeting outcomes.

Coordinates project logistics and supports stakeholder engagement activities.

Assists with implementation of departmental process improvements and operational initiatives.

Supports reporting and follow-up activities to help maintain project momentum and accountability Stakeholder and Team Support Provides coordination and administrative support to ERA employees and collaborates with internal partners across the organization.

Responds to inquiries and provides guidance regarding department processes and administrative procedures.

Supports learning and development activities, registrations, and related tracking requirements.

Assists with departmental events, meetings, and employee engagement activities.

Collaborates with other coordinators and executive administrative professionals to promote consistent practices and efficient service delivery.

Requirements that are important to us 4-5 years of experience in administrative, operational coordination, project coordination, or departmental support roles.

Experience supporting multiple stakeholders and coordinating budgets, meetings, projects, and departmental activities is required.

Post-secondary education in Business Administration, Public Administration, Communications, Office Administration, or a related field, or an equivalent combination of education and experience.

Demonstrated experience coordinating multiple priorities, managing competing deadlines, and maintaining a high degree of accuracy and attention to detail.

Strong organizational, planning, and project coordination skills, with the ability to work independently in a fast-paced environment.

Experience supporting budget administration, expense processing, and financial tracking activities.

Excellent interpersonal, communication, and stakeholder management skills, with the ability to build effective working relationships across all levels of an organization.

Advanced proficiency with Microsoft Office applications, particularly Excel, Outlook, Word, PowerPoint, and Teams.

Experience supporting senior leaders or executive-level stakeholders is considered an asset.

Experience working in a healthcare, association, public sector, research, or policy environment is considered an asset.

The OMA has moved to a permanent hybrid work environment.

As such, the individual in this position will be required to work a minimum number of days in our Toronto office.
